Real Estate Administrative Generalist

Position Overview

A top-producing real estate team is seeking a highly organized and proactive Real Estate Administrative Generalist to support the administrative staff, team lead, and overall business operations. This role is ideal for a detail-oriented professional who thrives on keeping systems running smoothly, managing client and agent communications, and supporting transactions from contract to close. You’ll play a key role in ensuring the team operates efficiently and that clients receive a seamless, five-star experience from start to finish.

Key Responsibilities

Team & Office Operations:

Serve as point of contact for the team for all general administrative support needs.

Organize and coordinate meetings, showings, inspections, events, and other items as needed.

Maintain efficient office systems and processes to keep operations running smoothly.

Anticipate team needs and proactively solve problems before they arise.

Transaction & Listing Support:

Support agents and staff with the preparation, organization, and management of real estate listings.

Coordinate transactions from listing to closing, ensuring all listing items are executed.

Assist with MLS entries, property marketing preparation, and vendor coordination for photography, inspections, and repairs.

Client & Lead Management:

Maintain clear and professional communication with clients, agents, and vendors throughout the transaction process.

Track leads and client activity through Follow Up Boss (FUB) and other CRM systems.

Assist in managing lead generation activities, such as responding to inquiries, following up with past clients, and updating contact databases.

Marketing & Reputation Support:

Assist with marketing materials, listing descriptions, and property data for online and print campaigns.

Help manage online reviews and client feedback on platforms like Google, Zillow, and Realtor.com.

Contribute to team newsletters, social media updates, and market reports.

Agent & Team Support:

Assist with new agent onboarding, file organization, and system setup.

Support training and ensure new team members have the resources they need to succeed.

Help maintain compliance with brokerage and DRE requirements.

Qualifications:

Active Real Estate License preferred (or willingness to obtain).

2+ years of experience in real estate administration, operations, or transaction coordination.

Proficient in MLS, ZipForms, DocuSign, Follow Up Boss (FUB), and Google Workspace.

Excellent communication, organizational, and multitasking skills.

Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.

Proactive, professional, and solution-oriented mindset.
