Work Orders & Repairs
- Receive, review, and complete all assigned work orders in a timely and professional manner.
- Perform general maintenance and repairs (plumbing, electrical, carpentry, painting, appliances, locks, etc.).
- Escalate larger or specialized repairs to management and coordinate with outside vendors as needed.
- Provide before/after updates (photos or notes) in AppFolio or other designated systems for record-keeping.
Tenant Communications
- Communicate directly with tenants regarding scheduled repairs, entry times, and completion updates.
- Respond promptly and professionally to maintenance inquiries via phone, text, email, or through AppFolio.
- Notify tenants in advance if work cannot be completed as scheduled and reschedule promptly.
- Represent the company respectfully while entering tenant units and performing work.
AppFolio & Reporting
- Accurately log all work orders, materials used, time spent, and completion status in AppFolio.
- Upload photos, notes, and documentation to support repair history and compliance.
- Report recurring issues, deferred maintenance, or capital improvement needs to management.
- Provide weekly updates to the property manager on open and completed work orders.
Timeliness & Efficiency
- Prioritize urgent/emergency work orders to ensure safety and property protection.
- Complete routine work orders within company timelines (e.g., 24–72 hours depending on priority).
- Use company resources efficiently by sourcing cost-effective solutions and minimizing return visits.
Property Upkeep & Preventative Maintenance
- Conduct periodic inspections of building systems and report preventative maintenance needs.
- Perform seasonal tasks such as HVAC filter changes, pest prevention, weatherproofing, and common area upkeep.
- Notify management of potential safety hazards, code violations, or liability risks immediately.
Professional Standards
- Maintain a professional appearance and respectful conduct when interacting with tenants and vendors.
- Keep tools and equipment in good working order; report when replacements are needed.
- Follow company protocols for entry notices, safety procedures, and tenant privacy.
- Adhere to all fair housing and safety regulations while carrying out duties.
