Chartwell Teaching Institute (CTI) Executive Assistant
Hourly/Non Exempt
Begins March 1, 2024
Hourly Rate: $32-$34/hr
The Chartwell Teaching Institute Executive Assistant has the responsibility of supporting the CTI Director and Associate Directors in all administration tasks and activities.
Candidates have the option of working remotely from September through May (approximately 10 hours per week). It is preferred for the candidate to work on campus during the summer workshops from June through August (approximately 30 hours per week).
Position Responsibilities &Essential Duties
Manage calendar & registration database for workshops via CTI website
Communicate with participants including:
Share Welcome letter email
Send reminder emails
Collect Google Form Participant Information
Share Info emails about CERI and CEUs
Answer questions from participants regarding events
Manage Google Classrooms (or alternate) site for participant resources
Create forms or other record keeping items as needed
Create flyers or other marketing materials
Coordinating CTI billing with the Business Office
Other Responsibilities
Print completion certificates
Print Sign-in sheets and timesheets to districts
Maintain database of previous attendees
Coordinate CTI calendar with master calendar
Main timelines for CTI projects
Book travel arrangements including flight and hotel accommodations
Help with set up and breakdown of events
Book McMahan Hall
Order food items for breakfast and coordinate dietary needs
Maintain kitchen supplies
Organize physical materials for workshops
Qualifications
The ideal candidate will have;
Administrative experience
Excellent executive functioning skills, including organization, time management, and cognitive flexibility
Outstanding communication and interpersonal skills
An ability to communicate effectively, read and interpret both written and oral information, and provide clear directions, explanations and correspondence.
Experience with Google Workspace and comfortable with multiple software applications
Compensation is commensurate with qualifications and experience.

About Chartwell Teaching Institute
The Chartwell Teaching Institute offers professional development courses to educators who want to expand their knowledge base and incorporate evidence based practices in their classroom. At the heart of the institute are our week-long International Dyslexia Association (IDA) Accredited Structured Literacy Courses. These workshop are based in the Science of Reading and offered at both the elementary and secondary levels for general education and special education teachers. We lead additional workshops that focus on supporting students in specific areas of learning, such as executive functioning, assistive technology, and social emotional academic development. Courses offer a deeper understanding of learning differences and practices to support all learners in the classroom. Courses are available periodically on during the school year and on Chartwell’s campus daily for six weeks in the summer.
