Description We are partnering with a well-Established Family Law firm based in Oakland, CA, who specialize in mediation, litigation, and consulting services, to source an Administrative Office Assistant to join their teams on a contract to hire basis.The Administrative Office Assistant will provide vital support to the Managing Shareholder and ensure smooth office operations. This role involves managing administrative tasks, coordinating complex schedules for a busy mediator, and serving as the first point of contact for client inquiries. The ideal candidate is detail-oriented, organized, and capable of handling multiple priorities in a fast-paced environment.Key Responsibilities:

Manage and maintain the Managing Shareholder's calendar.

Coordinate complex scheduling for mediation sessions, client meetings, and other firm events.

Serve as the first point of contact for client inquiries via phone, website, or walk-ins.

Handle client intake processes efficiently and professionally.

Assist with general administrative tasks such as data entry, document preparation, and email correspondence.

Maintain organized records and filing systems.

Order office supplies and coordinate maintenance of office equipment as needed.

Act as a liaison between the Managing Shareholder, clients, and staff to ensure seamless communication.

Address client needs promptly and professionally, maintaining confidentiality at all times.

Requirements

Qualifications:

Prior administrative experience, preferably in a legal or professional services environment.

Exceptional organizational skills with the ability to manage multiple tasks and deadlines.

Strong communication and interpersonal skills to interact with clients and colleagues effectively.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with calendaring systems.

Familiarity with family law or mediation services is a plus but not required.

Must be local to Oakland, CA for onsite requirement: 4-5 days a week on-site
