Administrative Assistant100% Onsite | United States | Full-TimePosition OverviewCrown seeks an Administrative Assistant to become part of a team at our Ontario, California office. The successful candidate will perform a variety of administrative duties including answering phones, arranging travel and processing travel expense vouchers, transmitting and receiving messages via email, maintaining electronic calendars, coordinating meetings, escorting visitors, maintaining supplies, and typing memoranda.Key ResponsibilitiesAdministrative AssistantProcesses company travel vouchersEnsures all receipts are legible and valid expensesEnsures that all charges submitted are in compliance with the contract requirementsEnsures that the client is billed in a timely mannerAssists with invoices that are sent to the client monthlyActs as the liaison between the travel crews and the complexities of the voucher systemEnforces policy on travel/per-diem, and provides a constant monitoring/auditing of the process for every submissionCoordinates with the many various companies for materials/lodging/travel and attains the appropriate receipts/invoices in the proper formatCompiles numerous ad-hoc projects including various statistical reports such as weekly site reportsQualificationsAssociate’s Degree or equivalent combination of education and experienceMinimum of 2+ years of administrative support experienceProficiency in Microsoft Office Suite, including advanced Excel skillsStrong organizational and multitasking abilitiesExcellent written and verbal communication skillsAbility to work independently and collaboratively in a team environmentStrong attention to detail and problem-solving skillsAbility to prioritize tasks and manage competing deadlinesPreferred Qualifications:Experience supporting government contracts or federal programsFamiliarity with travel expense processing and invoice managementExperience with reporting and data tracking toolsKnowledge of federal compliance requirements is highly desirableSchedule & TravelTypical schedule is Monday through Thursday, 6:00 AM to 4:30 PM.

Must be able to work non-standard hours depending on site requirements.

This is a 100% Onsite position.CompensationHourly Rate Range: $20.00 to $29.47 per hour (W2)Compensation is determined based on experience, qualifications, geographic location, and internal equity considerations.Crown complies with all applicable state and local pay transparency laws. The listed compensation range represents the good faith salary range for this position at the time of posting.
