The Church Administrator is responsible for, but not limited to, coordinating the following areas: grounds and facilities, information systems and internal communications. This includes office management, office expenses, awareness of campus maintenance and operations, computer systems and office support.
The Administrator collaborates with other church staff, committees, Children’s Center, and the membership to carry out the mission of the church and is a positive advocate and representative for Aldersgate.
The Administrator also demonstrates strong Christian commitment, high standards in attitude, outlook and morals with awareness of the importance of Christian example.

Essential Responsibilities
Personnel:
1. Maintains schedules for clerical staff support and office volunteers.
2. Oversees custodial staff, contract service providers and office volunteers.
3. Provides training and orientation to new staff, contract and/or office volunteers.
Physical Property Facilities and Maintenance:
1. Oversees operation of the church buildings, grounds and janitorial service.
2. Communicates grounds and routine building maintenance needs to Trustees as discovered.
3. Schedules and supervises major maintenance for buildings and grounds in coordination with Trustees.
4. Conducts facility tours for people interested in utilizing the church campus for special events.
5. Controls facility keys.
6. Manages facility and room use. Maintains and updates the master calendar for use by all organizations with Trustees’ approval.
Internal Communications and Office Systems:
1. Monitors and manages church email communication.
2. Greets visitors and answers phone calls during office hours.
3. Communicates with church staff and volunteers, church members, and vendors.
4. Receives and communicates shepherding needs to Lead Shepherd and pastor(s).
5. Coordinates preparation and production of weekly worship service bulletins; compiles worship materials and information.
6. Edits and distributes regular communication.
7. Attends church committee meetings, particularly Church Council, and Charge Conference.
8. Acts as liaison between Aldersgate Children’s Center and AUMC.
9. Administers and manages church databases.
10. Composes and edits church documents and other written communications for internal distribution (e.g., special mailings, memorial bulletins, etc.) as requested.
11. When needed, create graphics for events for screen, website and paper.
12. Operates and maintains office equipment. Masters new technology as the church acquires it.
13. Trains other users on the operation of equipment to improve and enhance the success of the office.
14. Manages church records and prepares reports as needed. Ensures annual reporting of the official membership records, charge conference initiatives and any congregational meeting information.
15. Provides additional administrative support to pastors as time permits.
16. Answers questions about the church and provides inquirers with addresses, directions and other information as needed.
Financial Transactions:
1. Authorizes office expenditures within the budget.
2. Reviews and provides accounts payable, etc.
3. Signer of checks.
Education/Experience Requirements
BA degree or equivalent experience preferred
Business/supervisory experience preferred
Basic knowledge in facilities maintenance, information technology, and operations management required
Knowledge of the United Methodist Church policies and procedures recommended
Christian experience and maturity
