We are currently seeking a skilled Construction Secretary/Office Manager to support our project managers, and field crews by ensuring smooth and efficient administrative operations.
Key Responsibilities
Document Management: Maintain and organize construction project files, contracts, permits, blueprints, reports, and correspondence. Help prepare and distribute bid packages.
Communication: Serve as a central point of contact; answer phones, screen calls, take messages, respond to emails, and coordinate communication among project managers, clients, and subcontractors.
Scheduling & Logistics: Arrange meetings, coordinate appointments with inspectors, maintain calendars and logistics.
Financial Support: Track project-related administrative expenses, assist with invoicing, and process payments.
Administrative Support: Perform data entry, copying, scanning, ordering office supplies, and general clerical duties to ensure efficient office operations.
Required Skills and Qualifications
Strong administrative and organizational skills
Excellent written and verbal communication
Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with construction software is a plus
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Familiarity with construction industry terminology and processes (preferred but not required)
High school diploma or equivalent (Associate or Bachelor's degree preferred)
Previous experience in construction administration or a similar role is highly desirable
