Executive Assistant - Project/Construction Management

Position Title: Executive Assistant – Project/Construction Management - Part-Time (20 to 25 hours per week)

Location: Irvine California – Hybrid Flexible Work Model

Job Description: As the Executive Assistant to the president, you will play a vital role in supporting Dorado internal operations and the execution of our projects. You will also work with our client project teams and administrative personnel, consultants, and contractors as well assisting with various project tasks and tracking project deliverables. This position requires intelligence, organizational skills, flexibility and a positive outlook.

Responsibilities:

Provide high-level administrative support to the president and client project teams.

Manage calendars, schedule meetings, and coordinate appointments for project related activities.

Prepare and distribute project related documents, reports, and correspondence.

Assist in the preparation and distribution of project proposals, bids and contracts.

Provide operations/office management support related to corporate and financial reporting, invoicing, accounts payable and receivables, insurance, and company policies.

Attend project meetings, record minutes, and follow up on action items as necessary.

Maintain project files, documents and records in an organized and accessible manner.

Assist in preparation of project descriptions, budgets and schedules.

Qualifications:

Previous experience as an executive assistant or administrative assistant in the construction of project management industry is highly desirable.

Excellent organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.

Strong attention to detail and accuracy in document preparation and client deliverables.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and project management software including Microsoft Project.

Proficiency in Quickbooks preferred but not required.

Excellent communication skills, both verbal and written, with the ability to interact with internal and external stakeholders.

Ability to maintain confidentiality and exercise discretion in handling sensitive information.

Strong problem solving skills with the ability to anticipate needs and proactively address issues.

Bachelor’s degree is preferred but not required.
