Description We are looking for a diligent Administrative Assistant III to join our team in Pleasant Hill, California. This role involves acting as a liaison between employees and the public, assisting in planning and scheduling department activities, and maintaining department/office records. This role is a 3 month contract position that offers an opportunity to utilize your skills in a dynamic work environment.Responsibilities: Act as a liaison between employees and the public; coordinate activities, answer phones and screen calls, and provide general departmental information. Assist staff and the public in navigating departmental processes, providing guidance and general information as needed. Assist in planning and scheduling department activities, researching and providing direction on questions pertaining to policies and procedures. Examine and verify fiscal records and expenditures; maintain budget records and reconcile budget accounts to ensure accuracy. Receive, classify, reconcile, interpret, consolidate, and/or summarize documents and information. Maintain department/office records and fiscal information for control purposes, such as student and employee databases, transcripts, correspondence, tests, advisory certificates, and probation reports. Research and prepare reports and analyses within prescribed guidelines, including statistical reports, drawing data from a variety of both internal and external sources. Prepare and proo a wide variety of documents such as course proposals, confidential memoranda, exams, class outlines, reports, schedules, and letters; organize and maintain internal records and filing systems.Schedule is Monday-Thursday 9am-5pm and Friday from 9am-1pm.Requirements Proficiency in using ADP - Financial Services for managing and processing financial data Familiarity with Cisco Webex Meetings for coordinating and conducting virtual meetings Experience with Concur for managing employee expenses and travel Proficiency in using CRM systems to manage and analyze customer interactions and data Expertise in using Kronos Timekeeping System for time and attendance management Familiarity with About Time for mobile resource management Proficiency in Calendar Management, coordinating and scheduling meetings and appointments Excellent Communication skills, both written and verbal, for internal and external correspondence Experience with coordinating Conference Calls involving multiple participants Ability to manage Correspondence effectively, including emails, letters, and documents.
