Payroll Specialist/Office Manager

Location: Poway, CA

We're seeking a highly skilled, detail-oriented professional to join our hard-working team in Poway. This position is designed for versatility — ideal for someone seeking a blended Office Manager/Payroll Specialist/Accounting & HR Support role.

What You’ll Do:

Payroll Responsibilities (Weekly Process)

- Full-cycle in-house payroll for private and public works (including certified payroll).

- Process cloud-based timekeeping, daily reports, and payroll tax deposits.

- Manage direct deposits, employee deductions, and benefit payments.

- Ensure public works compliance: certified payroll reporting, wage determinations, craft pay rates and fringe benefits, apprentice ratios, etc.

Office Management/Accounts Payable

- Oversee daily office operations, ensuring organized and efficient administrative workflow.

- Schedule team meetings and mandatory compliance trainings such as; harassment and workplace violence prevention.

- Support and assist our field employees by responding to their requests and needs as they arise.

- Oversee and maintain office equipment leases, maintenance and office supplies.

- Oversee and troubleshoot IT needs including on-site server, computers, laptops, tablets, and cell phones.

- Liaise with IT consultants for system upgrades, licensing, and cyber compliance.

- Process and track Accounts Payable: subcontractor billings, vendor invoices, overhead expenses, and credit card transactions.

- Process employee garnishments, unemployment requests (EDD), and field new hires and onboarding.

- Support company safety programs, company driver and gps protocols, and DOT/BIT compliance

- Assist with both urgent, unplanned projects and long-term strategic endeavors across the organization.

- Assist with corporate insurance renewals and client pre-qualification packages.

Additional Experience and Background a Plus:

- Construction-specific accounting and AIA billing formats.

- Human resources oversight (compliance, benefits, and onboarding).

- Insurance claims management.

Who You Are

- Experienced and Confident: In payroll processing, labor compliance, certified payroll, accounts payable & office management in the Construction industry.

- Analytical & Organized: Skilled at multitasking, with excellent attention to detail.

- Tech-Savvy: Fluent in MS Office, accounting software, labor compliance and construction payment platforms (Textura, Pro-Core, GC Pay, LCP Tracker, DIR eCpr).

- Problem-Solver: A self-starter who thrives in a dynamic, fast-paced environment.

- Collaborative: Builds strong working relationships across internal and external teams.

- Compliance-Focused: Strong knowledge of CA DIR labor law, payroll regulations, and mandatory compliance reporting.

- Trustworthy: Must pass a pre-employment drug screen (excluding THC) and background check.
