Front Desk Agent/Night Auditor

The position is for three days at the front desk from 3:00pm-11:00pm and two nights as a night auditor from 11:00pm-07:00am

Duties and Responsibilities for Front Desk:

Play a vital role in helping create a memorable environment for our guests. Must be a compassionate problem-solver, have a service-oriented attitude. Represent the hotel to the guest throughout all stages of the guest's stay. Determine a guest's reservation status and identify how long the guest will stay. Help guests complete registration cards and then assign rooms accommodating special requests whenever possible. Verify the guest's method of payment and follow established credit-checking procedures. Place guest and room information in the appropriate front desk rack, and communicate this information to the appropriate hotel personnel. Work closely with the housekeeping department in keeping room status report up to date and coordinate requests for maintenance and repair work. Maintain guest room key storage. Must be sales-minded. Present options and alternatives to guests and offer assistance in making choices. Know the location and types of available rooms as well as the activities and services of the property.

Register guests and assigns rooms. Accommodate special requests whenever possible. Assist in pre-registration and blocking of rooms for reservations. Thoroughly understand and adhere to proper credit and cash-handling policies and procedures. Know room locations, types of rooms available, and room rates. Use suggestive selling techniques to sell rooms and promote other services of the hotel. Coordinate room status updates with the housekeeping department by notifying housekeeping of all check-outs, late check-outs, early check-ins & special requests. Possess a working knowledge of the reservations department. Take same day reservations and future reservations when necessary. Know cancellation procedures. Know how to use front office equipment. Process guest check-outs. Post and file all charges to guest, master, and city ledger accounts. Use proper telephone etiquette. Coordinate guestroom maintenance work with the engineering and maintenance division. Report any unusual occurrences or request to the manager. Know all safety and emergency procedures. Aware of accident prevention policies. Maintain the cleanliness and neatness of the front desk area

Duties and Responsibilities for Night Audit

1. Complete posting of all charges.

2. Receive and record guest payments.

3. Reconcile all departments revenues

4. Prepare revenue report

5. Post room, tax, and local calls for the day and balances room revenue

6. Record any adjustments for errors with full explanation

7. High balance credit report must be completed indicating all balances.

8. Prepare and have ready by 7 a.m. each day the Housekeeper's Report, listing the status of check-outs, stay, over, vacant, and out-of-order rooms for the night just ended.

9. Assign rooms in a courteous and efficient manner to all incoming guests.

10. Pay special attention to the phone and follows the basic rules of courtesy.

11. Record and makes all wake-up calls properly.

12. Provide information to guests in a courteous manner.

13. Must have complete knowledge of policies and procedures to be followed in emergency situations.

14. Complete the night audit by change of shift at 7 a.m. Gives information to other department heads, especially any information relating to the morning's breakfast

15. Handle all internal control items as hotel policies and procedures dictate.

16. Sets up breakfast in accordance with the set-up rules & guidelines
