Must have a minimum of 2 years dental front office experience. Dentrix experience preferred.

Job Summary

The Hygiene Coordinator is responsible for managing a variety of duties related to current and new patients, including coordinating all elements before, during, and following the patient’s appointment with the doctors and hygienists at Alpine Dentistry.

Summary of Essential Job Functions:

· Manage and maintain the practice Hygiene schedule daily. This includes filling open appointment times.

· Work with doctor/office manager to develop policies for patients surrounding the schedule (i.e. cancellations, confirmations, patients who arrive late, emergency appointments).

· Manage and maintain the policies for patients regarding the integrity of the practice’s hygiene schedule.

· Answer incoming calls, print schedules, route slips and pulling all hygiene charts for the next day.

· Schedule patient appointments per the practice’s guidelines and schedule policies.

· Return all phone calls from messages pertinent to Hygiene related care.

· Answer phones.

· Checking in/out Hygiene appointments and handle over-the-counter collections.

· Checking in/out appointments in doctor schedule.

· Present Treatment Plans and schedule to meet production goals.

· Daily audit for all Hygiene charts for the next day. Includes: route slips, date stamp, treatment plan review, financial review and insurance.

· Insurance verification of upcoming hygiene and new patients.

· Confirm hygiene appointments.

· Manages hygiene retention of clients, calls on past due clients and tracks successful scheduling of the past due client.

· Check in advance for patients on operative schedules that may be due for hygiene to schedule needed appointments, for them as well as family members.

· Generate and work reports for 2, 6 and 12 months past due clients. Send appropriate letters and/or cards as reminders.

· Contact patients on the Unscheduled Appointment list report for hygiene needed visits.

· Prepare any needed referrals for patients.

· Review the schedule each day with appropriate team members. This is most appropriately conducted in the practice’s morning huddle each day.

· Inform clinical staff and the doctor(s) of changes to the schedule each day and throughout the workday.

· Manage the practice’s confirmation system to ensure patients are confirmed for appointments.

· Communicate with the Financial Coordinator to determine patients on the daily schedule with outstanding balances or who need a financial consultation.

· Follow-up with all cancelled or failed patient appointments to reschedule. Sending Cancelation policy letters as needed.

· Manage and oversee the practice’s recall system, to ensure patients are scheduled for hygiene appointments.

· Mail New Patient letters and Thank you letter for referrals once a month.

· Keep reception room clean and neat.

· Filing charts.

· Nightly deposit and balancing of accounts receivables.

· Perform other tasks as assigned by the Office Manager and Doctor(s).

Minimum Requirements:

· 2 years experience in the dental front office.

Dentrix experience preferred
