We are a family run real estate company who manage a portfolio of residential and commercial properties in Chula Vista and the greater San Diego area. We are looking for proactive and highly organized Real Estate Administrative Assistants to join our team. The ideal candidates will be detail oriented, customer focused, and capable of handling multiple tasks with efficiency to support the day-to-day operations of our residents, agents, and the general operations of our real estate business.
Job Description:
Act as the first point of contact, answering phone calls from prospective tenants inquiring about available rentals with professionalism and courtesy;
Inspect vacated units and coordinate maintenance to get them back on the market;
Address tenant concerns, overseeing the timely and successful completion of maintenance requests are fulfilled by contractors (plumbing, electrical, etc.) and other professionals;
Managing postings for vacant units, ensuring there are updated pictures and posts online for all available properties;
Conduct basic bookkeeping by managing accounts, rent collections, bill payments, and tenant notices;
Maintain organized and updated resident files, generated contracts, and records;
Building positive relationships with prospective and current tenants;
Handling general office administrative duties of a property management firm such as filing, data entry, managing supplies and maintaining an organized work environment.
Requirements and Skills:
Strong organizational, time management, and multitasking skills;
Excellent written and verbal communication skills;
Previous experience in an administrative role or real estate environment, preferred;
A working knowledge of office productivity software (word, excel), we are happy to train on additional custom real estate software;
Flexibility to adapt to changing priorities and responsibilities;
Ability to work independently and as part of a team;
Strong attention to detail and problem-solving abilities;
Having a real estate license is not required.
