Description A prestigious AM Law 100 firm is offering an exciting opportunity for an IP Legal Secretary (patent prosecution) in San Francisco, California. In this role, you will be responsible for a variety of administrative tasks within the legal field, from processing new client requests and preparing prosecution filings, to coordinating appointments and maintaining client files. This role is situated within a fast-paced, dynamic workplace where attention to detail is paramount. The team is collaborative and the salary and benefits are competitive. Responsibilities: Handle secretarial duties related to firm administration such as processing new client/matter requests, client bills and time reports. Transcribe dictation and compose correspondence for client-related affairs. Oversee the preparation and filing of prosecution filings for attorney/agent approval. Manage electronic filing of Foreign/U.S. applications and stay updated on upgrades related to electronic filing systems. Monitor client files and deadlines using tools like PAIR and Pattsy Wave. Prepare and file assignment recordation online with the USPTO. Carry out the distribution, sending, filing, and handling of completed work. Coordinate travel arrangements and meetings, and maintain appointment calendars for attorneys. Handle incoming and outgoing mail. Provide secretarial assistance to visiting attorneys and attorneys whose secretaries are absent.Requirements Possess a minimum of 3 years of experience as a Legal Secretary Knowledge and experience in Patent Prosecution Familiarity with USPTO Filings Proficiency in using Pattsy software Experience working with the World Intellectual Property Organization (WIPO) Knowledge of Carpe Diem software Excellent communication and organizational skills Ability to multitask and prioritize tasks effectively Strong attention to detail and accuracy Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint Ability to work independently as well as part of a team Strong problem-solving skills and ability to make decisions under pressure High level of confidentiality and discretion in handling sensitive information Ability to work under tight deadlines and manage multiple projects simultaneously Strong written and verbal communication skills.
