We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our VP of Demand Generation. This role is ideal for someone who thrives in a fast-paced, dynamic environment, excels at managing multiple priorities and has a keen interest in supporting a high-impact marketing leader. The Executive Assistant will be a trusted partner, ensuring smooth day-to-day operations and enabling the VP to focus on strategic priorities.Please note: This is a hybrid role that will be based in San Mateo, CA and requires an in-office presence three days per week (Tuesday - Thursday). Key ResponsibilitiesExecutive SupportManage and optimize the VP’s calendar, ensuring efficient time allocation across meetings, travel, and strategic priorities.Handle scheduling, meeting logistics, agenda preparation, and follow-up actions.Anticipate needs and proactively resolve scheduling conflicts.Communication & CoordinationServe as a liaison between the VP and internal/external stakeholders.Coordinate cross-functional alignment with marketing, sales, operations, and executive leadership teams.Maintain confidentiality while handling sensitive information.Travel & Event ManagementCoordinate domestic and international travel arrangements.Assist in planning team meetings, leadership workshops, and offsites (onsite and virtual).Manage travel expenses, reconcile receipts, and submit expense reports in a timely manner.
