DIRECTOR OF CLINIC OPERATIONS

GENERAL SUMMARY:

Under the direction of the Chief Operations Officer and working in close collaboration with the Chief Medical Officer, this position is responsible for support and coordination of medical clinic daily operations by providing clinic managers, clinicians, and staff with the required resources to meet patient needs and the operational objectives of the organization. Assist the COO for design, implementation, and monitoring of key processes that impact patient care and satisfaction. This position exists to support the overall operational effectiveness of physician practices and ancillaries. This position is an integral part of the Patient-Centered Medical Home Care Team and works collaboratively with others to support optimal patient outcomes.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Ensures all aspects of the clinics are managed in accordance with SBNC guidelines, procedures, and policies.

Partners with Human Resources Department in the recruitment and hiring clinic support staff.

Partners with the Training Department to ensure that all support staff is trained appropriately.

Ensures that clinic procedures and supervisory practices comply with SBNC policies and with applicable federal and state laws, codes, and regulations.

Partners with Human Resources Department to monitor and maintain clinic staffing model and modifies assignments and staffing levels to meet the needs of all clinics.

Conducts regular meetings with Clinic Managers, Assistant Clinic Managers, and other key personnel to communicate new information, solve operational problems, and solicit staff feedback.

Supervises the following Departments: Call Center, Referrals and the Mobile Clinic.

Develops, improves, and implements clinic procedures and policies in consultation with the Quality Improvement Committee, Chief Medical Officer, and the Chief Operations Officer.

Ensure clinic budgets and productivity are met in conjunction with the COO and the CMO.

Monitor Inventory Control for all clinics

Approve timecards for all direct reports and providers.

Supports COO with the Electronic Practice Management and Electronic Health Records Maintenance. This includes all upgrades and implementations for Nextgen.

Responsible for the Health Promotion Services including Community Outreach.

Establish and Maintain Housekeeping policies.

Maintain Patient Portal and Phreesia software along with IT Support.

Assists with the Implementation and maintenance of any new programs and software changes for clinics along with IT Support

Review and approve Contractor timecards.

Participates in the Emergency Preparedness Program.

Working with HPS manager to manage, maintain and facilitate any trainings for Community Health Workers.

Assists with coverage of Medical Clinic Managers.

OTHER DUTIES AND RESPONSIBILITIES

1. Demonstrates understanding of and observing all SBNC policies, procedures, rules and regulations.

4. Interacts with patients, physicians, staff, vendors, and visitors in attentive ways that demonstrate caring and that reflect the SBNC mission and philosophy.

MINIMUM REQUIREMENTS/ QUALIFICATIONS

Education: Bachelors or Health care experience equivalent.

Experience: Five (5) year clinical program experience required. Three (3) years of experience in a non-profit clinic/community service setting or related experience and/or training; or equivalent combination of education and experience. Management/supervisory experience preferred.

Knowledge & Skills: Knowledge of community clinic operation preferred. Knowledge of medical terminology, Medi-cal and other funding sources preferred. Must be able to learn quickly, in a fast-paced environment. Must possess interpersonal skills to interact diplomatically with staff and difficult clients. Must be able to work with a very diverse group of patients in a non-judgmental manner. Computers skills and working knowledge in the use of standard software such as Windows, Word, Excel and PowerPoint. Must possess strong verbal and organizational skills. Bilingual in English and Spanish preferred.

Physical Demands: May be required to lift objects weighing up to 25 pounds. Sitting in a normal seated position for extended periods of time. Reaching by extending hand(s) or arm(s) in any direction. Finger dexterity is required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Ability to hear within normal range. Ability to move about.

Salary Range: $98,000 - 110,000
