Development and Administrative Assistant

Position Summary:

The Development and Administrative Assistant acts as the first point of contact for Sanctuary Centers and is required to be fully articulate about each of Sanctuary Centers programs in order to ensure that each potential client or family member is met with the much needed guidance and respect that they deserve. As such, it is imperative that they be patient, articulate, and empathetic.

Under the direct supervision of the CEO and Director of Philanthropy, the Development Assistant provides administrative support in a wide array of fund development activities including donor database management (salesforce), newsletter creation and dissemination, special events, direct mail solicitations and Web/Social Media projects. Various administrative duties are the sole responsibility of the Development and Administrative Assistant and should be carried out with little or no supervision.

Responsibilities:

Maintain and manage confidential donor database systems including receipt, entry and acknowledgement of all monetary and/or in-kind donations and inquiry tracking.

Provide support for direct mail appeals, newsletter, and donor campaigns.

Design and implement social media activity, in coordination with marketing staff if needed, to cultivate community engagement, education, and contributions; Oversee aspects of Sanctuary Centers active and passive fundraising events.

Assist CEO and Director of Philanthropy in planning, implementing and evaluating ongoing annual fund development plan and major gift efforts.

Create and facilitate volunteer opportunities for corporate groups, students, and individuals.

Coordinate with vendors for services related to development and administrative activities, including all printing, office supply orders, event planning, etc.

Create and maintain a deadline-driven calendar of development activities and events.

Assist in the preparation of communications and public relations materials as needed.

Provide support in planning and implementing special projects and events.

Build and maintain effective working relationships with all program and support staff.

Compile Program Director reports and other materials for monthly distribution to Board Members.

Manage correspondence for Board Members and monthly meeting.

Attend and take minutes of board of directors meeting. Transcribe and submit to CEO/Board President for review

Maintain office equipment and orders all office supplies and departmental budgets.

Responds to program inquiries as assigned.

Special Projects and other duties as assigned.

Minimum Qualifications:

Bachelor Degree and 1 to 2 years demonstrated and verifiable successful experience in administrative work.

1 year of nonprofit fundraising and donor/prospect development experience preferred.

Reliable and strong initiative and the ability to work independently and collaboratively.

Excellent organization and time management skills.

Ability to work with diverse group of people.

Demonstrated knowledge of Microsoft Office (Word, Excel, PowerPoint).

Ability to meet physical requirements of the job including carrying, lifting, pulling and pushing 50+ lbs., and walking up and down stairs.

Ability to manage multiple projects simultaneously, in a fast-paced setting with shifting priorities and constant deadlines.

Desired Qualifications:

Social Media, Web, and Print Marketing experience preferred.

Knowledge of fundraising or database software applications preferred, but will train (Salesforce or similar).

Knowledge of web/print graphic design software (Photoshop, InDesign)

Dependability “ consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.

Job Type: Full-time

Salary: $17.00 to $22.00 /hour (DOE)
