LA MARCHA - Office Admin - HR Coordinator

A bilingual administrative assistant provides vital organizational support by handling various clerical and administrative tasks. Their responsibilities typically include managing calendars, scheduling appointments, interviews, organizing meetings taking notes, and handling correspondence. Administrative assistants often serve as the first point of contact for clients and colleagues, requiring excellent communication and interpersonal skills in both Spanish and English. Proficiency in office software, Google Docs, and Toast software for employees, strong organizational abilities, and attention to detail are essential for success in this role, as administrative assistants contribute to the efficient operation of an office and maintain a well-organized work environment. Requires fluency in written and verbal Spanish - English.

Duties / Responsibilities:

Use computers for various applications, such as database management (Toast-Open table) or Word-Excel processing.

Answer telephones and give information to callers, take messages, or make reservations and large parties' requests.

Create, maintain, and enter information into databases.

Set up and manage paper or electronic filing systems, record information, update paperwork, or maintain documents, such as attendance and employee records, correspondence, or other material.

Operate office equipment, such as fax machines, copiers, or phone systems, and arrange for repairs when equipment malfunctions.

Greet visitors or callers, handle inquiries, or direct them to the appropriate persons according to their needs.

Maintains scheduling and event calendars.

Support employees in completing hiring forms following company procedures.

Schedule and confirm appointments for clients, customers, or supervisors.

Make copies of correspondence or other printed material such as menus for all restaurants and company forms.

Clerical:Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.

Computers and Electronics:Knowledge of general office software including Gmail, MS Word, MS Excel.

Education:Most occupations in this zone require vocational school training, on-the-job experience, or an associate's degree (AA- preferred but not required)

Related Experience:Previous work-related skills, knowledge, or experience is required for these occupations.

Job Training:Employees in these occupations usually need one or two years of on-the-job experience and informal

training with experienced workers. A recognized apprenticeship program may be associated with these occupations.

These occupations usually involve communication and organizational skills to coordinate, supervise, manage, or train

others to accomplish goals.

Qualification Standards:

Experience: Minimum of 2 years experience in a similar position.

Grooming: All colleagues must maintain a neat and well-groomed appearance (specific standards will be provided).
