We are a well-established General Construction business with over 20 years of experience, serving in Santa Barbara, CA. As we continue to grow, we are looking for a dedicated Administrative Assistant to join our team.

Job Summary:

The Administrative Assistant will be a central part of our team, ensuring the smooth operation of our office by managing technician schedules, responding to customer inquiries, performing data entry, and maintaining accurate records in QuickBooks. This role requires a highly organized, detail-oriented individual who excels in communication and multitasking.

Key Responsibilities:

Email Management: Promptly respond to customer inquiries, forwarding emails to relevant departments when necessary.

Schedule Management: Organize and manage the scheduling, ensuring efficient allocation of resources.

Data Entry: Accurately enter data into QuickBooks, including invoicing, purchase orders, and customer information.

Phone Support: Answer phone calls from clients and vendors, providing excellent customer service, and directing inquiries as appropriate.

Administrative Support: Assist in various administrative tasks, including filing, copying, and preparing documents to support office operations.

Customer Service: Ensure high levels of customer satisfaction by effectively resolving queries and providing detailed information about our services.

Qualifications:

Experience: Previous experience in an administrative role preferred. Familiarity with QuickBooks or similar accounting software is a plus.

Skills: Strong organizational and multitasking abilities. Excellent communication and customer service skills. Proficiency in MS Office and data entry.
