ADMINISTRATIVE ASSISTANT

Shannon Scott Design is seeking an eco-passionate Administrative Assistant to join our luxury design team in Santa Barbara.

Our ideal candidate for this position has an outgoing can do attitude and is eager to jump in and assist the studio in a variety of administrative functions. WHAT TO EXPECT

Shannon Scott Design is an ethical and sustainably focused interior design and project management studio focused on custom residential and boutique hospitality interiors. We are focused on the evolution of design where no animals are harmed in the materials, and nature is honored in each choice we make. We are looking for someone to fill this important role who cares about our world and enjoys the critical administrative tasks that ensure a successful business operation.

RESPONSIBILITIES

- Open and close the studio daily (9:00am to 5:30pm)

- Answer and screen calls, welcome visitors/clients

- Outgoing mail, shipping, and deliveries

- Sample orders/returns, order pick-ups, and drop-offs

- Prepare for team and client meetings and presentations

- Schedule and oversee vendor meetings and appointments within the studio

- Maintain project binders, studio files, and electronic records

- Receive and submit studio bills, receipts, and financials to Bookkeeper

- General organizational, administrative, and office upkeep tasks

- Assist the design team with project tasks as needed

- Assist Principal with various business and personal tasks as required

- Maintain the overall appearance of the studio

- Miscellaneous errands including bank deposits

PREFERRED QUALIFICATIONS & REQUIREMENTS

- Prior administrative experience

- Positive attitude, friendly and outgoing, strong people skills, and a genuine desire to help others; this role interacts directly with all studio visitors, inquiries, and vendors

- Expertise with Microsoft Suite: Word and Excel – full suite preferred

- Strong attention to detail

- Excellent verbal and written communication skills

- Must be a self-starter, highly competent, and self-sufficient, with minimal need for supervision

- Energetic, focused, and passionate about sustainability/eco and cruelty-free values

- Highly organized with strong multi-tasking abilities and confidence in managing tasks in a fast-paced environment

- Ability to learn and grow in high pressure situations

- Willingness to take initiative, and ability to learn new programs and routines quickly

- Familiarity with interior design a plus

- Must have your own transportation, valid driver’s license, and insurance; bank deposits and errands are part of this role
