Administrative Assistant Position

Our non-profit organization is currently seeking to fill an Administrative Assistant Position. We provide historical preservation, restoration, and conservation support throughout much of the state, though our office is located in downtown Santa Barbara. Ideal candidate is someone who can handle multiple tasks and projects and can work independently as well as with others.

Position Responsibilities:

-Administrative support to Development Director and Executive Director

-Daily office correspondence, answer phones, emails, web inquiries

-Manage all social media accounts, create new posts, maintain dialogue on all platforms

-Manage membership data base and membership correspondence, mailers, etc

-Manage school grant program, maintain records, grant reports, invoices and check requests

-Assist with bookkeeping, maintain general ledger including posting transactions

-Provide financial reports and program updates to Board

-Reconcile bank statements

-Assist with year-end financials for filing tax returns

-Filing and Updating reports

Position Requirements:

-Ability in Quickbooks to handle all tasks of general bookkeeping: generating reports, filing, and doing bank reconciliations, journal entries, A/P and A/R

-Advanced experience with Excel, including ability to create spreadsheets

-Experience with Microsoft Office Suite

-Detail oriented, organized, analytical and possess problem solving skills

-Excellent written and oral communication skills
