Job Overview:
We are seeking a detail-oriented and organized Construction Office Manager/Bookkeeper to join our dynamic team on a part-time basis. The ideal candidate will play a crucial role in keeping our office operations running smoothly while also managing our financial records and bookkeeping tasks. This position is perfect for someone who thrives in a fast-paced environment and is passionate about contributing to a growing company.
Key Responsibilities:
1. Office Management:
- Oversee day-to-day office operations, ensuring efficiency and effectiveness in all administrative functions.
- Serve as the first point of contact for clients and vendors, providing exceptional customer service.
- Maintain organized filing systems for project documentation, contracts, and customer records.
- Schedule and coordinate appointments, meetings, and company events.
2. Bookkeeping Duties:
- Manage accounts payable and receivable, including invoicing clients and processing vendor payments.
- Reconcile monthly bank statements and maintain accurate financial records.
- Prepare and maintain financial reports, including budgets and forecasting.
- Assist with payroll processing and employee time tracking.
3. Project Support:
- Assist project managers with project documentation, including contracts and job specifics.
- Track project expenses and provide regular updates to management regarding financial performance.
- Help prepare bid proposals and assist in managing subcontractor and supplier relationships.
Qualifications:
- Previous experience in office management and bookkeeping, preferably in the construction industry or a similar field.
- Proficient in accounting software (QuickBooks preferred)
- Strong organizational skills and attention to detail with the ability to multitask effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of construction processes and prevailing wage jobs is a plus but not mandatory.
Work Schedule:
- Part-time position, approximately 20-25 hours per week, with flexible scheduling options.
Compensation:
- Competitive hourly rate commensurate with experience
