Administrative Assistant

Description Responsibilities:

Operates a centralized phone system with multiple lines, receiving and directing incoming calls appropriately.

Greets visitors in person, or via phone or email, and determines the nature of their business, providing standard information related to legal services.

Performs various administrative support tasks, including typing correspondence, maintaining records, and processing documents.

Establishes and maintains filing systems, both physical and electronic.

Receives, sorts, and distributes incoming mail and legal document deliveries, ensuring confidentiality.

Maintains calendars, schedules, and deadlines for the department, reminding staff of important dates and events.

Assists with event registration and reservation of meeting rooms.

Performs other duties as required to support the objectives of the legal office.

Requirements

Knowledge of:

Modern office practices and legal office procedures.

Proper English, grammar, spelling, and punctuation.

Operating characteristics of common office equipment.

Departmental procedures and standing instructions related to work performed.

Ability to:

Operate computer software including word processing, databases, and spreadsheets.

Type accurately at a sufficient speed.

Analyze problems and apply appropriate solutions.

Maintain confidentiality and prioritize work effectively.

Work as part of a team devoted to customer service.

Initiate projects and tasks within the functions of the department.

Computer Skills:

Proficiency in MS Office Suite (Word, PowerPoint)

Intermediate skills in word processing, databases, spreadsheets, email, and basic desktop publishing.

Internet and website usage with professional conduct.

Experience:

Requires 2 years of progressively responsible secretarial experience.

Experience supporting multiple people in a professional setting preferred.
