JOB DESCRIPTION SUMMARY:

The Accounting and HR Specialist will manage the company’s accounting operations, payroll, and HR functions while supporting the CEO and CPA in modernizing financial processes. The ideal candidate will be proficient in QuickBooks, Excel, and other essential software, producing accurate and timely financial reports, handling HR-related tasks, and contributing to a culture of compliance, efficiency, and excellence. This position is for In-person setting and not for Remote work.

3. JOB REQUIREMENTS

3.1. Education and Experience:

Minimum 3 years of experience each in accounting and human resources or related fields.

Proven proficiency with QuickBooks Desktop (testing required) and advanced Excel skills.

Familiarity with payroll, government billing, and HR procedures.

Understands the Job Costing setup and reporting.

3.2. Technical Skills:

Expertise in Microsoft Office Suite (Excel, Word, Outlook).

Experience with Bluebeam Revu and Acrobat preferred.

Strong aptitude for learning new software and productivity tools.

3.3. Other Skills and Attributes:

Detail-oriented, highly organized, and self-motivated.

Exceptional communication and interpersonal skills.

Ability to work in a fast-paced environment with occasional tight deadlines.

Compliance with company policies, including drug-free workplace standards.

4. WORKING CONDITION

4.1. Environment: Primarily in a manufacturing environment, including fabrication shops, assembly areas, and testing facilities.

4.2. Schedule: Full-time with flexibility to meet production deadlines, including occasional weekends or extended hours as necessary.

5. ESSENTIAL FUNCTION & PRINCIPAL DUTIES

5.1. Accounting Operations

Perform full-cycle accounting, including payroll, accounts payable, accounts receivable, and government billing.

Manage QuickBooks Desktop, ensuring all financial data is accurate and up to date.

Collaborate with the CPA and CEO to enhance accounting processes, forecasting, and reporting.

Produce detailed financial reports for decision-making and compliance.

5.2. Human Resources (HR) Management

Handle HR-related tasks, including employee records management, benefits coordination, and compliance with labor laws.

Manage OSHA safety reporting and insurance claims.

Oversee onboarding and support employee engagement initiatives.

5.3. Administrative and Cross-Functional Support

Respond to internal and external inquiries regarding financial data and HR policies.

Ensure compliance with company policies, government regulations, and industry standards.

Maintain clear and effective communication with employees, vendors, and customers.

Handle miscellaneous tasks such as billing and coordination for safety reports.

5.4. Process Improvement”

Update and streamline accounting systems in collaboration with the CEO and CPA.

Leverage QuickBooks and Excel for advanced reporting and forecasting capabilities.

Identify inefficiencies and propose solutions for process optimization.

5.5. Monthly Financial Reporting to the President.

5.6. Manage weekly Cash Management Report.

5.7. Prepare yearly budget plan based on Sales and Production initiatives.

6. MEASURE OF PERFORMANCE

6.1. Accuracy and timeliness:

Consistently accurate and timely financial reporting, payroll processing, and compliance tasks.

6.2. Efficiency:

Implementation of improved processes for forecasting and estimating.

Effective use of software tools to reduce time spent on routine tasks.

6.3. Communication:

Clear, professional communication with internal and external stakeholders.

Responsiveness to queries from employees, vendors, and clients.

6.4. Compliance:

Adherence to company policies, government regulations, and OSHA standards

6.5. Collaboration and Problem Solving:

Demonstrated ability to work effectively with cross-functional teams to solve problems.

Proactive identification and resolution of accounting or HR-related issues.

7.1. Salary is upon the discretion of the owner.
