Salary Range: $60,891.48 - $64,599.80

POSITION SUMMARY:

The Accounting Assistant supports the Associate Director of Fiscal Planning and Analysis in the financial management of the organization and is responsible for the general ledger maintenance and fund accounting support functions. Additionally, the Accounting Assistant is responsible for coordinating First Five- PFA payments, preparing program and grant invoicing, and, providing support in the areas of accounts receivable and payable.

RESPONSIBILITIES:

General Ledger

Responsible for trial balances, general ledgers, and other balance sheet account reconciliations; this includes monthly close and reconciliation of financials, includes analysis.

Prepare and enter general journal entries as needed.

Assist Finance Manager in preparing audit schedules, audit preparatory material, and support onsite work.

Accounts Receivable

Process check deposits, code and enter funder and cash receipts.

Responsible for updating monthly cash receipts schedule.

Assist with accounts receivable processing such as monthly reconciliations of receivable accounts.

Accounts Payable

Prepare PFA payments worksheet and Check Requests and work closely with Program Officer - First Five San Francisco for monthly reconciliation.

Process the credit card expenditures on a monthly basis and post accordingly and follow up with card holders.

Assist with accounts payable processing, such as route for signatures and prepare check mail as assigned.

Assist in copying and/or scanning of payment and other documents.

Act as a primary backup for Accounts Payable functions as needed.

Research payables files as needed in support of audits and reporting.

Other Tasks

Assist annual 1099 preparation for all organizational vendors and providers.

Maintain filing system. (Paper and electronic copy).

Cross train with Finance staff to support as needed.

Other related duties as assigned by Accounts Payable Supervisor, Finance Manager and Senior Director of Finance & Accounting.

QUALIFICATIONS:

Bachelor’s Degree in Accounting, Finance, or Business Administration

3+ years of work experience in accounting, finance, or similar.

Understanding of U.S. G.A.A.P.

Ability to prioritize and meet multiple deadlines under minimal supervision.

Knowledge of medium to large scale computerized accounting systems such as Sage MIP Fund Accounting or equivalent.

Advanced knowledge of Microsoft Excel, including lookup functions and pivot tables.

Intermediate knowledge of Microsoft Word, Outlook, and Access Databases.

Experience and knowledge of accounting principles and billing requirements for government-funded non-profit organizations.

PHYSICAL REQUIREMENTS:

Ability to sit at a desk and/or stand for extended amounts of time.

Manual dexterity to use office equipment; the ability to sit and work at a desk for extended periods of time.

Physical agility to lift and carry materials, bend, stoop, and reach overhead.

BACKGROUND CHECK

COVID Policies

All staff are required to be fully vaccinated (barring application for medical or religious exemptions). Wearing masks in the office is optional for our staff.

Hybrid Work

We have adopted a hybrid working model and currently require employees to be present in the office at least 3 days per week, with the option to work 2 days per week remotely. There are a few roles where the hybrid schedule is not conducive. Similarly, there are a few positions that operate 100% remotely. This position requires employees to work 5 days a week on site.

Compensation and Employee Benefits:

Salary Range: $60,891.48 - $64,599.80
