School Accounting Manager

POSITION SUMMARY

Sure, we are a school, but in many ways, we are a business,

and we run our finance department like one.

Here's why this position can be highly beneficial for you: You will have the opportunity to work under the guidance of our Director of Finance, who boasts two decades of corporate and entrepreneurial expertise. Additionally, you will gain invaluable hands-on experience in managing the financial operations of an organization with an $11 million budget.

KEY RESPONSIBILITIES

Accounting - you will be the school’s bookkeeper using QuickBooks Online! We believe accounting is useful for three reasons: 1) the IRS, 2) decision-making, and 3) donors. If none of these are relevant, let's simplify it. For instance, we recently consolidated our chart of accounts, streamlined how we account for petty cash expenditures, and migrated from QB Desktop to QB Online. There are more ways we can become more efficient. Let’s brainstorm new ideas!

Payroll - a top priority for any business. Running payroll in ADP must be timely and accurate every single time, as errors can erode employee trust and create a lot of extra work. The school has a mix of full-time, part-time, salaried, and hourly employees; attention to detail is critical. We recently implemented digital time cards to improve efficiency and accuracy, but we still ask ourselves: how do we know that every single paycheck is perfect?

Bill Paying - we can’t run our school without our third-party vendors. We recently moved away from paying bills with physical checks, and we now use SAP Concur, a highly reliable software used by most large companies. We pay most vendors via ACH, which is fast and trackable. Before paying an invoice, you will look closely for inaccuracies, overbilling, and possible fraud.

Expense Reports - most employees who make purchases have a school-issued credit card that syncs with SAP Concur. Employees upload receipts, categorize their purchases, and submit their reports each month. You will communicate due dates, approve reports, flag any issues, and answer employees' questions about navigating SAP Concur.

Customer Service - you will be the first point of contact for the finance department for all of our constituents: Parents often have questions about their payments to the school; Vendors sometimes inquire about the status of an invoice; Employees may need clarification about their paycheck. Being responsive is important because it contributes to employee morale, student retention, and reliable vendor service.

POSITION REQUIREMENTS

You have several years of bookkeeping experience in QuickBooks Online, and you are familiar with integration with other software.

You instinctively ask, “Does this make sense?”. Attention to detail is really important.

You enjoy bouncing ideas around and finding creative ways to solve a problem.

You should be familiar with IF, VLOOKUP, and SUMIF in Microsoft Excel.

You have experience completing monthly bank reconciliations.

You understand accounting concepts like Deferred Revenue/Rev Rec and CAPX/Depreciation.

You have prior experience running payroll and are familiar with key concepts like Rate 2 and deduction codes.

You can articulate financial concepts clearly.

You communicate politely and professionally, both verbally and in writing.

You are comfortable receiving (and giving!) honest feedback.

You can identify confidential information and know when it is appropriate to be discreet.

Navigating ADP Workforce Now, editing profiles, and running reports

Understanding how a school is structured and operated

Non-profit accounting and how it differs from for-profit accounting

Willingness to partner with the Director of Finance on other projects, such as the annual financial audit and regulatory filings

OTHER CONSIDERATION

This is a 4-day-per-week, full-time role with full benefits

This is not a remote position, but periodic WFH is permitted
