Position Description:
One (1) Permanent-Exempt, full time, (40 hours/week), full year (260 days/year) position. Exempt employees are considered "at will" and serve at the discretion of the appointing officer. This position is grant-funded and is funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.Under general direction of the Associate Registrar and Dean, the 1488 Technical Instructional Assistant performs complex and highly technical duties including but not limited to the areas of graduation, evaluation, certificate and awards evaluation, Credit for Prior Learning (CPL) petition evaluation, preparation for Intersegmental General Education Transfer Curriculum certificates (IGETC); prerequisite requirements for college programs, and evaluation of student records, entry of admission applications, front counter service, telephone operations, creation of reports for Admissions & Records as assigned. Other responsibilities include working as an A&R liaison with various departments, and program requirements. This position requires heavy interaction with the public and may entail assignment to other City College Centers as needed. This position may be required to work evenings and weekends as needed.
Job Duties:
1. Interpret and implement college and government rules and regulations governingadmissions, records, graduation and certificate and award requirements.2. Review, evaluate and approve petitions including auto-petitions for degrees, certificates, diplomas, awards, CPL, foreign and domestic academic transcripts for programs, graduation and prerequisites.3. Post degrees, honors, majors, transfer units and other comments on Banner.4. Assist students in all areas of Admissions & Records including processing and resolving a variety issues and requests, may include but not exclusive to transcripts, academic renewal, athletic eligibilities, enrollment verification, in person, virtual help counter, email, or telephone.5. Identify issues, report, and work with analysts/IT to find resolutions to Banner problems related to A&R processes.6. Discuss and collaborate under the direction of the Dean or designee to develop andstreamline A&R processes as functional end-users.7. Maintain and update A&R website, as required.8. Create spreadsheet for submitting the diploma and certificate list to the vendor for processing.9. Process general education certification (GE) and Intersegment General Education Transfer Curriculum (IGETC) to CSU and UC institutions.10. Review and resolve discrepancies and issues regarding student records11. Review evaluation information and create presentations and reports utilizing Office 365 and other software programs. Present at workshops, meetings, seminars.12. Interpret and implement FERPA, CA Ed. Code, and Title 5 regulations as they pertain to a student's records and privacy.13. Maintain communication with various college departments regarding courseequivalencies and substitutions and catalog rights.14. Establish and maintain a cooperative relationship with other college departments, outside agencies and institutions.15. Represent A&R, Dean or designee at meetings.16. Assist with hiring, training and supervising student workers in the related work functions.17. Perform other related duties as assigned.
Minimum Qualifications:
A BS/BA degree; OR AA/AS degree AND two years (4000 hours) of relevant paid experience in a Registration or Admissions and Records Office; OR Four (4) years (8000 hours) of relevant experience in a Registration or Admissions and Records Office or Student Services, preferable in a college setting.Note: College Work Study and Student Lab Aide experience with the District will be considered/applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities. March 2024.

1. Knowledge of BANNER applications.2. Knowledge of MS Word, Excel, PowerPoint, Adobe Acrobat, and other softwareapplications.3. Ability to learn quickly and adapt to frequent policy and technology changes.4. Ability to communicate clearly and effectively in written and oral form.5. Extensive experience with heavy public contact and conflict resolution.6. The ability to mutli-task and handle periodic heavy workloads.7. Must be able to work independently. Must be detail oriented.8. Enjoy working extensively with the public in person, telephone, mail, email.9. Commitment to and sensitivity in working in an inclusive and diverse community.10. Experience working in a community college setting.
Benefits:
1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Years Day, as well as an additional five (5) paid days off during spring break. Eligible school- term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Years Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school- term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.2. New employees hired on or after October 1, 2013, will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).
