The Office Associate is responsible for maintaining relationships with Wholesale & C&W customers. This includes managing AP/AR activities, credit applications, receiving orders, and fulfillment/outreach. They emphasize accuracy for invoicing customers with the correct price and weight of products shipped. Communication with the Sales Director and Production Manager is essential for determining priorities and managing workflow
With experience Office Associates will recognize the needs of each specific customer and execute tasks accordingly with precision. Must keep pricing up to date based on market trends to ensure profitability. Customer service is most important to ensure client happiness and longevity. Wholesale order forms and Cut Sheets must be put up in a timely manner.
Key Performance Outcomes:
Order forms and Cut Sheets are filled out completely with all details
100% Accuracy for invoicing customers with correct prices and weights
Spoilage is prevented completely ordering correct quantities and freezing products before expiration
AR Aging accounts and problem clients are issued statements weekly and are reached directly by phone
Par meat levels and Pricing updated weekly, orders placed accordingly
Key Responsibilities:
Maintain inventory of wholesale products and keep ordering tight
Communicate with customers about pick/delivery dates and times, provide updates if there are changes
Email phone messages to management when they are unavailable
Help Manage expense reports daily, and sales reports weekly
Overstock items must be pushed as determined by Quarterly goals
Approve orders that aren’t on PAR list with Management Team
Communication with Head Butcher and Production Manager to confirm order availability.
Report any mechanical issues or paperwork documentation errors immediately
Qualifications:
2+ years in Customer Service, Inventory Management, or similar office environment
Strong written and verbal communication skills
REQUIRED SKILLS
Reliable, responsible, honest, and punctual
Maintain high sanitation standards
Operate all equipment safely, including sharp knives
Work with power tools
Basic math skills required
Attention to detail in regards to ingredients lists mandatory
Strong written and verbal communication skills
Work with a sense of urgency
Desire for collaborative work environment, while able to work independently
Able to work in a temperature controlled environment (below 40 F degree)
Must be able to stand 8 hours
Must be able to lift 50 lbs on a repetitive basis throughout your shift

QUALIFICATIONS
High school diploma or GED equivalent; AA degree preferred; technical background preferred
Five (5) years experience performing Customer Service
Excellent written and verbal communication skills
Ability to work independently and also interface with all co-workers across departments
Well organized, pays attention to detail, and able to work with complex information
Excellent analysis, problem-solving, multi-tasking skills and follow through
Versatility, flexibility, and willingness to work within constantly changing priorities
Working knowledge of Microsoft Office Products, Quickbooks a plus
PHYSICAL REQUIREMENTS:
Must be able to stand 8 hours
