POSITION DESCRIPTION

Job title: Art Sales and Services Coordinator

Classification: Full-time, non exempt position: 40 hours/week

Benefits: Benefits including health, dental and vision insurance, 401k, vacation and sick pay.

Compensation: $25.00 - $28.00 per hour, depending on experience

Location: Principally based at Creativity Explored, 3245 16th Street in San Francisco, with regular visits to other CE locations

Supervises: Gallery Associate and Gallery Associate, On-Call

Reports to: Director, Art Partnerships

POSITION OVERVIEW

CE’s Art Sales and Services Coordinator oversees the operations of CE’s gallery at 3245 16th St, facilitating art sales to individuals, businesses, and community partners. The Art Sales and Services Coordinator oversees the sales, pricing, commissioning, shipping, and inventorying of art and art products. As an art partnerships team member, the Coordinator participates in the documentation, organization, and exhibition of art and supports CE’s art partnerships including pop ups, offsite exhibitions, and related events.

The Art Sales and Services Coordinator provides excellent customer service to individual and institutional art buyers, works closely with other exhibitions team members, and partners with other CE departments as follows:

Operations and finance: in areas such as gallery management, inventory, monthly sales accounting, and utilization/selection/upgrading of POS and other systems

Art Programs: in areas such as facilitating the transfer of finished work to documentation and sales, pricing artists’ work, and collaborating on commissions, as well as interacting directly with CE artists in a way that honors their needs and aspirations

Marketing and brand partnerships: in areas such as implementing art services partnerships, popups and events, and giving input into promotions and art sales-related content

Development: by supporting joint events such as our annual gala and art auction, gallery openings, and partner cultivation events, encouraging donations from art buyers, and sharing information about art buyers and partners to facilitate donor cultivation

KEY RESPONSIBILITIES

Sales Operations

- Provide extraordinary customer and sales service

- Work towards CE’s annual sales goals with team members

- Operate, open, and close Gallery and offsite sales events according to established procedures, including management of facility, shipping, cash, and sales systems; supervise others in doing so

- Manage online sales, including uploading new artwork, order processing, packaging and shipping, and supervise others in doing so

- Manage the sales component of on-site and off site gallery openings, pop ups and events, and participate in the overall planning of these events

- Ensure professional and engaging retail environment for CE artists’ work

- Facilitate artwork commissions for customers and partners

- Help develop new art products as needed

- Facilitate art pricing and inventory management

- Support monthly accounting processes related to online, onsite and offsite art sales

- Other duties as assigned

Art Services

- Meet with new and existing clients to coordinate art services projects, which place artwork in commercial and residential buildings

- Scope projects and submit proposals to clients

- Select artwork for projects to meet client specifications

- Coordinate framing and presentation of artworks

- Facilitate installation of artworks

- Oversee staff, vendors and contractors involved in projects as needed

- Facilitate invoicing of clients

- Assist in outreach to prospective partners as needed

Partnerships and Events

- Participate in CE partnership activities across departments, including team meetings and strategy sessions

- Facilitate deep partnerships by working collaboratively to engage partners across departments where appropriate

- Support the planning and production of events in exhibitions, art partnerships and other areas of the organization, such as art auctions, panels, exhibition openings, pop ups, and community celebrations

Supervision

- Supervise CE’s part-time Gallery Associate, whose work focuses on customer service, shipping, art documentation and organization, and other assigned tasks

- Supervise CE’s on-call Gallery Associate, whose work focuses on customer service, support direct art sales, and other assigned tasks

- Supervise gallery volunteers

- Oversee sales and installation contractors as needed

Organizational Relationships

The Art Sales and Services Coordinator is expected to work productively in a team environment and to foster open communication with staff across the organization to support the organization’s mission and goals. They are also expected to work towards embodying the four components of CE's Staff Philosophy: Community, Creativity, Collaboration, and Compassion.

The Art Sales and Services Coordinator will comply with established Creativity Explored policies and practices.

KEY SELECTION CRITERIA

- Education preference: A BA in a related field such as Museum Studies, Art History, Arts Management, or Studio Art or equivalent experience

- A strong connection with CE’s mission, including the ability to advocate for CE’s artists self-identified needs

- Two years gallery or art-related sales experience required; prior coordination or management experience in an arts setting preferred

- Arts-related sales experience that includes the use of point of sale systems, online art sales, and inventory management

- Strong administrative skills including the use of Google suite for spreadsheets, documents and presentations

- Strong time and project management skills

- Prior use of accounting software, project management tools, and arts management software preferred

- Excellent interpersonal and communication skills

- Ability to work with minimal direction, use good judgment, provide attention to detail, and maintain strict confidentiality

- Flexible approach to managing multiple projects with varied collaborators

- Ability to work in a diverse, creative environment with frequent interruptions

- Graphic and/or product design skills a plus

- Valid California driver’s license

ADDITIONAL PHYSICAL REQUIREMENTS

Ability to occasionally lift 50 pounds

TRAINING REQUIREMENTS

- Complete and maintain CPR, First Aid, and AED certification (initial certification to be completed within 30 days of date of hire)

- Workplace Harassment Training

- Complete Creativity Explored staff training pertinent to position job responsibilities as assigned

OTHER INFORMATION

The Art Sales and Services Coordinator is a non exempt, full time position. Most work takes place between Tuesday and Saturday, including some evening hours, but may vary due to organizational needs with a hybrid schedule in place with this position requiring at least 60% of time on site The position receives generous benefits as described in Creativity Explored’s Personnel Policies, including ample paid vacation, sick leave, holiday pay, retirement plan with match, health, dental and vision insurance, life, and disability insurance and medical flex spending.
