Job Title: Executive Assistant

Location: 2012 Pine Street, San Francisco, CA 94115

Compensation: $60,000 - $70,000 (Full-time, some evenings & weekends, 40 hrs/week, plus benefits)

ORGANIZATIONAL DESCRIPTION

JCYC is one of San Francisco’s most successful child and youth development service organizations, annually serving over 6000 children and youth of all racial and socio-economic backgrounds. The organization provides services which focus on early childhood development, college access, youth development and youth workforce services. POSITION DESCRIPTION

The Executive Assistant will perform a wide range of administrative and office support activities for JCYC’s Executive Administrative Team. This is a dynamic position which requires strong attention to detail, a great sense of initiative for accomplishing work that needs to be done, and the ability to manage multiple deadlines in many different areas. The ideal candidate should be a mature, self-starter who is able to work independently, proactively and able to set and achieve goals.

JOB RESPONSIBILITIES:

Executive Administrative Team Support:

Manage Executive Admin Team calendar and coordinate meetings;

Make travel and accommodation arrangements;

Drafting and editing correspondence for the Executive Administrative Team;

Researching and following up on critical issues to be addressed by the Executive Director and other members of the Executive Administrative Team;

Liaison to the Board of Directors and manages board and committee work including: conducting orientations for new board members, scheduling and meeting logistics, maintaining the board information intra-website and records, coordinating board activities/retreats, setting meeting agendas and taking board meeting minutes.

Support fundraising activities including direct mail and donor database;

Support Executive Administrative Team with reconciling credit card receipts and preparing check requests;

Support agency-wide initiatives such as employee wellness, all staff meetings, retreats, socials, DEIB work;

Manage administrative team calendar;

When appropriate, represent JCYC in external forums;

Completes special projects as assigned.

Communications:

Support communication among Executive Administrative Team, staff and external partners;

Format information for internal and external communication – memos, emails, presentations, reports;

Monitor and direct phone calls from general line and distribute correspondence;

Support production of agency collateral materials using multi-media channels including website posting, e-newsletters, email blasts and paper brochures;

Support maintenance of JCYC website, staff intra-website and Link Tree.

Operations:

Manages office mail and sort, address, and/or distribute mail as appropriate;

Assist with facilities tasks as needed;

Oversee office reception including greeting and directing visitors;

Participate in appropriate agency committees including but not limited to, Brown Bag, student scholarship program, Equity Walk, SF Aloha Run, Staff.

Job Qualifications:

Bachelor’s Degree and three (3) years’ experience working in assistance to senior staff and providing general office support

Excellent MS Office knowledge

Outstanding organizational and time management skills

Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)

Excellent verbal, written and listening skills

Discretion and confidentiality

Available to travel locally and ability to maintain a valid driver’s license.

Experience working in a nonprofit organization and/or the health sector a plus
