Senior Accounting Manager

Employment Status: Part time (hourly) 20-25 hours/week; Non-Exempt

Reports to: Executive Director

Location: Hybrid; in-office options and remote. Requires 2-4 days a month in-office.

Compensation & Benefits: Hourly Rate Range is $30-40. Ineligible for Benefits.

ABOUT PETALUMA RIVER PARK FOUNDATION:

Petaluma River Park is a 24-acre waterfront park in the heart of Petaluma. Open to the public in its raw state, it is being transformed into a park that meets our vital need for shared space that connects people, art, and nature.

Located on the McNear Peninsula, within walking distance to downtown Petaluma and adjacent to the central bus and SMART train stations, the Petaluma River Park site was a barren lot, overcome with invasive species, lined by steep and failing riverbanks, and closed to surrounding communities until 2020, when the Petaluma River Park Foundation (Foundation) acquired the riverfront property with the help of hundreds of community members.

Today, Petaluma River Park is open to the public every day from dawn until dusk. All are invited to enjoy the all-access 1.3-mile loop trail, take a rest at one of our picnic tables, take in views of sculpture on loan, or bring the kids out to watch the rabbits run and the herons swoop up a fish or two.

The Foundation, a 501©3 nonprofit organization, privately owns and operates Petaluma River Park. It maintains a board of directors and small staff and is assisted by a group of civic volunteers and content experts. The Foundation’s mission is to meet our vital need for shared space that connects people, art, and nature. When we succeed, the River Park will be a vibrant, welcoming place that fosters a love of nature, sparks creativity, and unifies our community for generations to come.

ABOUT THE POSITION:

The Senior Accounting Manager is a part-time, non-exempt position (20-25 hours/week) responsible for overseeing all financial activities of the organization, ensuring the integrity of financial information, preparing financial reports, and ensuring compliance with applicable laws and regulations. Duties include but are not limited to processing accounts payable, maintaining financial records, supporting the month-end and year-end close processes and contributing to various financial analyses while adhering to generally accepted accounting principles, and the system of internal controls to safeguard assets through adherence to policies and procedures currently in place at the Petaluma River Park Foundation.

ROLES & RESPONSIBILITIES:

The Senior Accounting Manager plays a crucial role in preparing accurate financial statements, managing general accounting operations, and ensuring all financial transactions comply with laws and regulations. Specific responsibilities are as follows:

Financial Management

Oversee day-to-day accounting operations including accounts payable, accounts receivable, payroll, and general ledger.

Maintain accurate and complete financial records.

Prepare monthly, quarterly, and annual financial statements.

Assist in monitoring budgets, forecasts, and financial plans in coordination with the Finance Committee.

Ensure timely and accurate reporting of financial information.

Review and process accounts payable transactions, requests for disbursements, and employee expense reimbursements.

Ensure proper documentation and levels of approval for all expenditures and compliance with organizational policies.

Organize and maintain payment and other finance and accounting department supporting documents; ensure all necessary information is accurate and complete.

Reconciliations, Oversight, and Reporting

Bank and credit card accounts and monitoring cash balance

Investment account

Management of restricted asset accounts and regular release of revenue

Restricted cash analysis and other CFO management reports.

Reimbursed grant reports as needed.

Journal entry reports.

Transaction detail reports for department managers.

Balance sheet reconciliations as part of monthly close process

Compliance and Audit

Ensure compliance with GAAP and all applicable local, state, and federal regulations.

Coordinate and manage annual audits, including preparation of necessary documentation and liaison with external auditors.

Ensure proper filing of tax returns (prepared by audit firm) and other regulatory reports.

Internal Controls

Develop, implement, and maintain internal controls to safeguard the organization’s assets.

Review and improve financial policies and procedures.

Grant Management

Oversee financial aspects of grant management, including budgeting, tracking, monthly invoicing on public contracts and reporting.

Ensure compliance with grant requirements and restrictions.

Administrative Duties

Assist with office services as requested.

YOU MIGHT BE RIGHT FOR THIS POSITION IF YOU POSSESS:

A Bachelor's or AA degree in accounting or related field, and a minimum of 5 years’ experience working in fund accounting, or any combination of education and work experience which would provide an opportunity to acquire the knowledge and abilities listed herein.

Experience and knowledge of accounting principles for non-profit organizations (GAAP).

Non-profit grants accounting and administration experience (required).

Working knowledge of accounting department routine processes and procedures.

Proficiency in QuickBooks.

Excellent computer skills (Google Workspace, Microsoft Word, Excel, PowerPoint, Outlook, communications systems).

Excellent interpersonal and business communication skills, written and verbal.

High level of organization, attention to detail, follow-through, and multi-tasking skills.

Ability to comply with organizational policies and procedures and maintain organizational and industry policies regarding confidentiality.

Experience working with a nonprofit Board of Directors and Board Committees desirable

SCHEDULE & WORK ENVIRONMENT:

This position is hybrid, combining both in-office options and remote work. It requires 2-4 days a month at the Petaluma River Park Foundation office in Petaluma, California.
