POSITION + Desire:

As an integral part of the operation of the firm, the Administrative Assistant is responsible for supporting office operations daily and working directly with the Partners of the firm. The ideal candidate should be passionate and enthusiastic with a strong ability to take direction, follow through and follow up on tasks with minimal supervision. Efficiency, organization and the ability to work with others is key to keeping the office profitable and stress free.

LEADERSHIP + Tasks:

The Administrative Assistant serves as a member of the support team, attends and actively participates in, staff meetings, administrative meetings, and training sessions and seminars. The ideal candidate leads with organization and efficiency.

 Supports the partners and staff.

 Maintains a professional office setting and shows leadership in all tasks involved with this position.

 Contributes to the organization, efficiency and effectiveness of the entire office.

 Drafting correspondence, scheduling meetings and appointments.

 Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.

 Routing potential clients, clients and vendors to the correct staff member when calling or emailing.

 Work on Accounts Receivable and Accounts Payable in coordination with partners.

 Follow up with clients on outstanding Accounts Receivables.

 Schedules meetings and appointments.

 Attend meetings to record minutes.

 Assist in proposal preparation and marketing materials.

 Interact with clients in a professional manner.

 Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.

 Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.

 Perform other related duties as required or assigned.

QUALIFICATIONS + Accruements:

Minimum requirements and preferred qualifications for the position of Administrative Assistant.

 Proven experience as an Administrative Assistant

 Knowledge of Administrative Assistant responsibilities, systems, and procedures

 Hands on experience with office machines (e.g., printers/scanners up to 36”x24”, etc.)

 Proficiency with Office Suite, Google Suite

 Comprehend written sentences and paragraphs in work-related documents.

 Experience with Abode Creative Suite, particularly InDesign & Photoshop

 Familiarity with social media tools for advertising/client communications

 Excellent time management skills with the ability to multi-task and prioritize work.

 Attention to detail and problem-solving skills.

 Excellent written and verbal communication skills in English (required). Spanish language skills are a plus.

 Strong organizational and planning skills in a fast-paced environment

 A creative mind with an ability to suggest improvements.

 1 to 3 years of Administrative Assistant experience; in design firm preferred.

 Minimum high school diploma, preferred minimum 2-year college associate degree
