Job Overview: Our busy, client-focused office needs a reliable, well-organized Administrator to handle day-to-day operations with a focus on efficiency and time management. The Administrator will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
We’re an Architecture/Engineering Firm looking for an energetic professional who doesn’t mind wearing multiple hats.
This role provides administrative support by scheduling meetings, preparing presentations, preparing client communications and tracking correspondence. This role is responsible for coordinating/tracking projects and/or managing business-as-usual projects such as digital filing, scanning, and maintaining client data and records.
Responsibilities
Manage employee schedules and troubleshoot scheduling conflicts as they arise
Order supplies and equipment as needed
Scheduling meetings and appointments within the office
Organize office operations and procedures
Provide general support to visitors
Assist in the onboarding process for new hires
Organize office operations and procedures
Qualifications
Proven experience as a Front office or Administrative assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills- this is an absolute must
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
This Job is Monday - Friday 8AM -5PM
Compensation
Base Salary Range - $60,000 -70,000
Medical Benefits after 90 days
Ten (10) paid holidays a year
