Construction Administrative Assistant

We are seeking a Construction Administrative Assistant to join our team. You will perform clerical and administrative functions to drive company success.

Part-time to Full-time for the right candidate.

- Experienced in construction project management/ CRM HOUZZ-PRO software.

Organize bids, quotes, invoices, receipts, photos, etc., on Dropbox/ construction project management software and hard copy binders.

- Highly organized, logical, and a quick learner, with excellent communication skills, attention to detail, and a strong work ethic, are a MUST. Superstars are self-starters who can work independently with minimal supervision, prioritize tasks, and solve problems creatively. Candidates who enjoy the buzz of a busy office and growth will excel!

- Minimum of 1-year experience in a construction office, is personable, intelligent, logical, articulate, highly organized, and self-motivated, and can multi-task while maintaining accuracy and organization

- Passionate about the renovations process and have a desire to learn quickly and excel

- Mature, pleasant, and professional in manner and appearance

- Have a strong work ethic

- Self-motivated with strong time management skills. Willing to do what needs to be done to meet deadlines safely and ethically.

- Fast learner and problem solver

- Demonstrate a history of attention to detail and excellent follow-through

- Flexible and resourceful

- Dependable & service oriented

- Capable of multi-tasking and handling several projects simultaneously

- Possess excellent oral and written communication skills

- Able to work both independently and as part of a team

- Have basic drafting skills and a strong cognitive ability to learn

- Proficient in Microsoft Office and Dropbox. Or able to take on details and learn quickly.

- Keep detailed To-Do notes, task & tracking lists, and calendars on multiple projects

- Follow-up on quotes and deliver before needed

- Errands & visits to job sites

- Office Administration

- Must own a reliable car, a valid California driver's license, and evidence of insurance

Qualifications:

· Previous experience as an administrative assistant in the construction of project management industry is highly desirable.

· Excellent organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.

· Strong attention to detail and accuracy in document preparation and client deliverables.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and project management software, including Microsoft Projects.

· Proficiency in QuickBooks is preferred but optional.

· Excellent verbal and written communication skills, with the ability to interact with internal and external stakeholders.

· Ability to maintain confidentiality and exercise discretion in handling sensitive information.

· Ability to post on social media: Facebook, Instagram, TikTok, Next Door.
