We are a growing construction company seeking a proactive and detail-oriented Office Assistant to support our projects and office operations. The ideal candidate will be bilingual (English/Spanish), proficient in QuickBooks Online, and comfortable handling both administrative and project-related tasks.
Responsibilities include:
Code invoices and bills in QuickBooks
Run checks and enter journal entries
Reconcile statements and track information
Data entry for various projects (light and detailed)
Calculate and organize employee timecards
Procure and coordinate orders for project supplies.
Filing (physical and digital)
Typing and formatting proposals
Communicating with outside vendors as needed
Collecting and organizing information from various sources
Managing phone calls (if any)
Making copies and distributing materials as requested
Tracking office inventory
Keeping the office clean and organized
Other administrative duties as assigned
Requirements:
Must speak, read, and write English (Spanish strongly preferred)
Morning availability required
Proficient in QuickBooks Online (entering bills, running checks, journal entries)
Previous office/administrative experience is a plus
Strong attention to detail and organizational skills
Excellent verbal and written communication
Ability to work independently and manage priorities
Computer skills (Word, Excel, email, etc.)
