OFFICE ADMINISTRATOR / HUMAN RESOURCES

We are a busy and fast-paced landscape design, construction, and maintenance company seeking a highly organized, proactive, and reliable Office Manager with strong HR experience. This multi award winning company is looking for someone to help oversee and optimize our day to day administrative procedures. As a key member of our leadership team, you will play a vital role in ensuring smooth office functionality, supporting field crews, and maintaining compliance with internal policies and procedures. Key Responsibilities:

Office & Operations Support:

Manage office and field supplies and inventory

Coordinate and track uniform distribution

Ensure truck and tool maintenance is tracked and scheduled appropriately

Maintain and update the company Operations Manual (OPS Manual)

Maintain all company records

Maintain business license renewals

Administrative & Financial Tasks:

Answer phones and direct inquiries to the appropriate manager

Manage company calendar and ensure key deadlines are tracked and met

Process deposits and handle petty cash responsibly

Manage meetings such as safety meetings, harassment training

Oversee insurance renewals

Maintain Notices and postings (holiday, labor laws)

Maintain OSHA compliance

HR & Employee Support:

Experience recruiting new employees

Manage employee onboarding and offboarding processes

New Employee Orientation

Manage employee benefits, including PTO tracking, IRA, and healthcare enrollment

Coordinate with providers and employees for workers’ compensation cases and claims

Maintain up-to-date employee records, including status updates

Keep the employee database current:

Emergency contact list

Birthday and anniversary calendar

Employee contact list

Support the company with legal compliance and staff communication

Knowledge of current laws including wage and hour rules

Ensure a positive and professional employee experience throughout all HR interactions

Preferred Qualifications:

Previous Office Manager or HR Assistant experience (construction industry a major plus)

Bilingual (English/Spanish) strongly preferred

Strong computer skills, including Microsoft Excel, Word, Outlook, Google Suite

Excellent organizational, time management, and communication skills

Ability to multitask and prioritize effectively in a fast-paced environment

High attention to detail and discretion when handling confidential information
