We are seeking a Studio Coordinator and Office Administrator to join our team.

About the job

Project Inquiries Management: Process all project inquiries and gather necessary information from designer/clients to ensure smooth project initiation.

Project Schedule Management: Maintain and manage the company's online project schedule, ensuring accuracy and timeliness.

Correspondence Handling: Screen, review, and assist with incoming and outgoing correspondence, maintaining professional communication standards with clients and vendors.

Project Estimations: Initiate project fabrication and hardware estimates, seeking approval from the owner before proceeding.

Project Organization: Manage and organize project online files, photos, and site measurements to facilitate easy access and reference for team members.

Product Sourcing and Ordering: Source and order products, project drapery hardware, and office supplies as needed, ensuring timely procurement and cost-effectiveness.

Financial Management: Manage receipts and track A/R checks, process accounts payable data entry, and collaborate with the company bookkeeper and CPA for end-of-month reconciliation.

Payroll Processing: Review the accuracy of staff billable hours and submit hours for payroll processing, ensuring timely and accurate compensation for employees.

Work Schedule:

Days: Four days per week (Monday - Thursday preferred).

Hours: 8 a.m. to 4 p.m., including a paid half-hour lunch break and two ten-minute rest breaks (one in the morning and one in the afternoon).
