Collections Specialist

Description Position Summary: The Collections Specialist plays a pivotal role in managing the Accounts Receivable portfolio by minimizing account aging and ensuring timely reconciliation to prevent losses for the company. This position entails providing exceptional customer service support, resolving price disputes, and collaborating with billing, sales, and dispatch teams. Additionally, the Collections Specialist is responsible for identifying and reporting suspected fraudulent activities to management.Essential Duties and Responsibilities: The primary responsibilities include, but are not limited to:

Initiating collection calls to customers with overdue accounts aged 45 days or more, prioritizing accounts based on outstanding balances.

Handling a high volume of incoming calls following the distribution of monthly statements, managing an average of 1,500 accounts.

Providing comprehensive customer service, including updating customer profiles, scheduling services, facilitating document requests (invoices, service orders), and managing incoming and returned mail.

Conducting thorough research on payment postings, addressing issues such as unposted cash payments, misplaced checks, and reallocation of payments. Following up on promised payments.

Implementing service holds on accounts exhibiting cash flow issues, payment refusals, or potential losses.

Other Functions:

Referring delinquent accounts to external collection agencies for further action.

Processing adjustments for billing discrepancies, pricing errors, bad debt write-offs, bankruptcy claims, and maintaining relevant files.

Performing additional duties as assigned.

Supervisory Responsibilities: This role does not involve supervising other positions.Requirements Required Qualifications:

High School Diploma or equivalent (G.E.D.) is required.

Minimum of 2 years of experience in commercial collections or a related field.

Knowledge, Skills, and Abilities:

Proficiency in business administration, accounting principles, human resource management, sales and marketing, economics, and office organizational systems.

Strong understanding of customer service principles, including needs assessment, quality standards, and customer satisfaction evaluation.

Analytical skills to assess problems, identify solutions, and make informed decisions.

Effective communication skills for conveying information clearly and comprehensibly.

Ability to apply general rules to specific issues and produce logical solutions.

Clear and articulate verbal communication abilities.
