Local service business seeking an office manager with bookkeeping/accounting experience. We are a small locally owned business looking for the right candidate to join our team and grow with the company. Applicants must be proficient in QuickBooks and possess great organizational skills and attention to detail.

Administrative Duties:

Manage incoming and outgoing communication via email, phone, and in-person.

Maintain office supplies inventory and reorder as needed.

Coordinate office activities and schedules, including appointments and meetings.

Organize and maintain physical and digital files and records.

Greet and assist visitors and customers in a professional and friendly manner.

Customer Service:

Address customer inquiries and concerns promptly and professionally.

Coordinate with the sales and service teams to ensure customer satisfaction.

Handle customer billing and payments.

Office Maintenance:

Oversee office cleanliness and organization.

Schedule and oversee maintenance of office equipment and facilities.

Arrange for necessary repairs and maintenance as required.

Financial Record Keeping:

Maintain accurate and up-to-date financial records using Quickbooks.

Record and reconcile daily financial transactions, including expenses, sales, and payments.

Generate invoices and follow up on accounts receivable.

Financial Reporting:

Prepare regular financial reports and summaries for management.

Assist with budget planning and monitoring.

Provide financial information for tax preparation.

Payroll Processing:

Ensure accurate and timely payroll processing for employees.

Maintain payroll records and deductions, including taxes and benefits.

Submit payroll tax filings as required.

Vendor Management:

Manage vendor accounts and payments.

Review and verify vendor invoices for accuracy.

Negotiate favorable terms with suppliers when possible.
