The work is meaningful, the culture is rewarding, and the purpose is eternal.The Sr. Administrative Assistant position exists to provide executive administrative support for VP and Director level leadership at Focus on the Family. Provides the VP and/or Director with necessary data and reports to ensure the effective execution of the department strategies. Coordinates activities for the department including special projects, measures, training, process and procedure development and event planning and execution. Essential Duties/Responsibilities:

Arranges meetings, manages multiple calendars, and completes special projects as assigned by VP and/or Director(s)

Generates and maintains trip summaries, expense reports, constituent profile updates, and caseload lists

Provides VP with project and revenue status, financial reports and Board Report

Prepares expense statements after trips verifying that all receipts and allowable expenses are in order and justifies credit card statements each month

Coordinates travel requirements including researching and booking flights, hotels and cars as well as visit notes after the trip

Pursues utmost detail in the area of constituent relationship and maintenance

Participates in department and interdepartmental meetings, and may attend on behalf of VP

Purchases materials and supplies for the department, is responsible for the departments credit card documenting the business purpose for each expense

Ensures training resources are updated and coordinates the onboarding of new staff

Coordinates the quality control process of donor data, corrects errors, identifies enhancements to future quality control items

Assists and relieves supervisor(s) of a variety of complex administrative duties by specific or general authorization; exercises sound, independent judgment, determining when to act for supervisor and when to refer problems for personal attention

Operates independently in absence of supervisor, calling on staff when required; assists and advises supervisor on problems, sorts correspondence, mail, and matters by order of importance and priority for immediate action upon supervisor's return

Serves as a liaison between manager and others; follows up to ensure a timely response to projects and assignments

Participates in various special projects involving in-depth familiarity with ministry background and policy spanning more than one functional area or operating division; searches manuals, files, and records for relevant background information

Monitors administrative assignments within the organization by setting priorities for meeting deadlines and balancing supervisor's and own workloads; adjusts work schedule to meet extra demands; prioritizes tasks to complete multiple projects

Initiates and organizes data for reports and presentations for supervisor's review; responsible for preparation of presentations, reports, charts, and graphs to be presented to any level of management

Independently answers administrative/procedural questions relating to policy and procedure for other ministry personnel and outside callers, utilizing a comprehensive knowledge of the functions, operating methods, and practices of the organization

Other Duties/Responsibilities:

Works with Events team on behalf of supervisor to help facilitate related events

Performs other duties as assigned

Managerial Breadth/Scope of Job:

May direct work assignments of other coordinators or other department support staff

Knowledge/Experience:

Bachelor's Degree in related field preferred

2-4 years of directly related experience

In-depth knowledge of Focus philosophy, mission, values, and objectives

Proficient in computer programs including Microsoft Word, Excel, Outlook, and PowerPoint

Pay Range: $20.00 to $23.00/hr
