Local Construction and Service Company in business for over 50 years looking for help in our office handling scheduling, accounting, billing, and general office duties. Details below -

Job Duties:

Accounting Tasks:

Bookkeeping: Record financial transactions using software like QuickBooks or spreadsheets.

Accounts Payable and Receivable: Process invoices, payments, and receipts.

Bank Reconciliations: Ensure accuracy between bank statements and financial records.

Expense Tracking: Monitor and categorize expenses, ensuring compliance with budgetary constraints.

Administrative Support:

Data Entry: Input and maintain records of financial transactions and administrative data.

Filing and Organizing: Maintain organized filing systems, both physical and digital.

Correspondence: Manage emails, letters, and phone calls related to accounting and administrative matters.

Scheduling: Coordinate appointments, meetings, and travel arrangements for staff.

General Office Duties:

Supply Management: Order office supplies and manage inventory.

Facilities Coordination: Ensure office facilities are well-maintained and equipped.

Document Preparation: Assist in preparing reports, presentations, and financial statements.

Customer Service: Handle inquiries and provide support to clients, vendors, and internal staff.

Qualifications:

Education and Knowledge:

High school diploma or equivalent; additional education in accounting or business administration is a plus.

Familiarity with basic accounting principles and practices.

Proficiency in MS Office (especially Excel and Word) and accounting software (e.g., QuickBooks).

Skills:

Strong attention to detail and accuracy in data entry and financial record-keeping.

Organizational skills to maintain efficient filing systems and manage multiple tasks.

Communication skills (verbal and written) for effective correspondence and interaction with stakeholders.

Ability to prioritize tasks and work independently while supporting a team environment.

Experience:

Prior experience (2-5 years) in an office assistant role, preferably with exposure to accounting tasks.

Experience with administrative duties such as scheduling, correspondence management, and office management.

Attributes:

Integrity and trustworthiness to handle sensitive financial information.

Problem-solving skills to resolve basic accounting discrepancies or administrative issues.

Adaptability to learn new tasks and software quickly, as required by the role.
