Ryan, Gunsauls & O’Donnell, LLC a South Denver based CPA firm is looking for a dynamic professional receptionist/administrative assistant. This is a part-time to full-time position, usually scheduled between 20-40 hours per week, with front desk coverage between 9am-2pm. The position is the first impression for callers and visitors to the organization, which requires a positive attitude and polished professional appearance. This position will multitask a wide variety of front office activities.
General Responsibilities:
Answers incoming telephone calls, determine purpose of caller, take and deliver messages, transfer calls, contact clients and staff as needed
Greets clients and visitors with warmth and enthusiasm, welcomes visitors to determine nature of business and announce guest to appropriate personnel
Respond to client and staff requests and questions in a timely manner
Assist with clerical duties to include mailing, copying, faxing, scanning
Assist and troubleshoot equipment/computer issues, order copier supplies, postage machine
Maintain conference room schedule; provide setup and cleanup for meetings
Light cleaning and organizing of kitchen and common areas
Assemble and package tax returns, maintain accurate records in filing system as to return status
Complete review of incoming client tax organizers and documents, contact clients as needed, route work as appropriate, scan documents to tax preparers
Handling of incoming and outgoing mail and deliveries, go to post office and fed ex as needed
Coordinate service requests as needed with building management
Keep track of supplies and coordinate with Firm Administrator to order items
Track and secure client data to include IP PINS and client passwords
New client setup from start to finish
Manage portal files, move files off the portal, notify staff of portal documents, assist clients with portal usage
Responsible for completing and documenting certified mailing of tax extensions, take to post office to meet deadlines
Create and route workflows
Change and update client data across all necessary platforms
Take credit card payments
Copy and mail/email/scan RGO Invoices to clients
Record keeping tasks, set up and maintain files, assist all departments as needed
Mail tax organizers
Other duties as assigned
Qualifications:
Minimum of a high school diploma or general education degree (GED); and one plus years of office experience, preferable in a professional services environment
Excellent customer service skills
Advanced knowledge of Microsoft Office applications
Basic math skills – accounting and tax support experience a plus
Ability to work within a team environment, as well as independently
Exceptional organizational skills and able to follow procedures in the face of multiple demands and deadlines
