POSITION SUMMARY
As our law office Receptionist, you will be the first point of contact for clients, attorneys, and court personnel. Utilizing phone, email, text, and in-person communication, you will be playing a key role in keeping the firm organized and efficient. Receptionist duties will include significant phone and digital engagement with others, in-person interaction, office inquiries and data entry, and general assistance with overall office appointment flow. Office services tasks will include physical and digital organization of office resources, occasional personal assistant support to firm owner, and maintaining kitchen/common office areas.
The ideal candidate is detail-oriented, dependable, and proactive, with strong communication and organizational skills. Prior law office experience is helpful but not required; we are happy to train the right person who brings dependability, professionalism, and a willingness to learn.
KEY RESPONSIBILITIES
Work under the supervision of the Firm Owner and Legal Administrator.
Answer and route incoming calls, take accurate messages following firm procedures, and ensure timely follow-up.
Greet clients and visitors in a professional, welcoming manner and maintain a tidy reception area.
Send and confirm appointment reminders by phone, email, and/or text message.
Organize office appointment flow, ensuring calls, meetings, and client visits are on time and running smoothly.
Monitor daily appointments and provide reminders to attorneys and staff of upcoming calls and meetings.
Manage incoming and outgoing mail, deliveries, and correspondence.
General office assistance, including scanning, copying, filing, and digital organization.
Complete new client intakes and ensure all onboarding tasks are completed timely and accurately.
Maintain and update the firm’s contact, referral, and resource directories.
Maintain the reception, kitchen, and common areas to ensure a clean and organized workspace.
Monitor and restock office supplies; maintain the copy room and supply closet.
Provide logistical/administrative support for internal meetings and occasional firm events.
Provide administrative or personal assistant support to the Firm Owner and Legal Administrator, as needed.
Occasional off-site tasks such as travel to/from local Courthouses, mailing sensitive documents, and pick-up of local office orders.
REQUIRED QUALIFICATIONS
Prior in-person experience in professional office setting.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities with attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
Proficient with P.C./Windows, smartphone usage, Microsoft Office (Outlook, Word, Excel, Teams), and Adobe.
Proficient with general office technology; comfortable learning new digital platforms.
Positive, professional attitude with a collaborative mindset.
Maintains a professional demeanor and appearance appropriate for a client-facing role.
Ability to handle confidential information with sensitivity.
Ability to occasionally lift and carry up to 40 pounds (office supplies, water refill, files, or deliveries).
PREFERRED QUALIFICATIONS, BUT NOT REQUIRED
Prior experience in a law office, particularly in family law.
Experience with Clio Manage.
Experience with client intake in a professional service setting.
Experience and comfort using multi-person office calendar systems.
Comfort using professional multi-line telephone systems.
Basic understanding of Colorado Court procedures and legal terminology.
Experience with legal billing procedures.
Experience with professional confidentiality and conflict checks.
Bilingual (English/Spanish).
SCHEDULE: Monday–Friday. Must be present during 9:00 a.m.–5:00 p.m. office business hours, but flexibility between 8:00 a.m. and 6:00 p.m. for start/end time, with noon-hour lunch (in-office work, with occasional all-staff remote work for unsafe weather/travel).
GROWTH WITHIN THE ROLE
This position offers meaningful, hands-on experience in family law, and the opportunity to work closely with a supportive and experienced legal team. We are hiring for an administrative support role that is preferred to be filled by one individual for the long term. However, if desired, there is potential growth and further compensation available in the future if receptionist/office services duties are proficient enough to add legal assistant duties to this position.
