The Sys Manager, SSRM Contract Administration has the responsibility to uphold contract lifecycle policy and procedures with standard company practices in the administration of contract management, while maintaining the content integrity of the contract repository(ies). The Sys Manager monitors and maintains a high compliance of accuracy in the management of contract agreements and documentation in the contracting and sourcing systems, and communicates contract attributes and pricing to downstream departments and systems. They will assist in pricing review and solve contract pricing discrepancies at the system and facility levels.The System Manager will collaborate and train members of the Contracting Team and Contract Administration Management to ensure high utilization of sourcing and contracting systems and workflow in the Contract Life Cycle Management System (currently Jaggaer). They will utilize industry best practices and procedures related to contract administration management at the system office and local levels. Maintains a high level of sourcing and contracting system knowledge and assists in upgrades and modifications.The System Manager will collaborate with the Group Purchasing Organization (GPO) to create and implement processes that support CommonSpirit’s organizational requirements of GPO systems and assist in determing and documenting such practices for Supply Chain.Key Responsibilities

Manages collaboratively and coaches team members to achieve optimal performance; delegates effectively; praises/rewards contributions; defines clear roles and responsibilities; sets goals and leads initiatives; adjusts plans as necessary.

Develops and documents the standard processes used in the department and to maintain data integrity in the contract lifecycle management systems. Assists to create training and process documents to ensure accurate use of contracting and sourcing systems whle increasing utilization of the Contract Life Cycle Management System (currently Jaggaer).

Monitors and coordinates the performance for all activities performed by Contract Specialists through the use of Lean processes and system analytics. Upholds Workflow in the Contract Life Cycle Management System (currently Jaggaer), and performs quality assurance activities for Key Performance Indicators (KPI’s).

Upholds various company policies applicable to contract administration management and Supply Chain businesses, including but not limited to Signature Policy, Organized Health Care Arrangement (OHCA) Compliance Policy, IT Security Policy, Procure 2 Pay (P2P) Policy, and Office of Inspector General (OIG) requirements for the CommonSpirit wholy-owned Group Purchasing Organization (GPO) - Dignity Health Purchasing Network, dba “Edgewise.”

Supports Supplies, Services, and Resource Mananagement (SSRM) initiatives, and shares authority and responsibility with others in SSRM and Contracting and Vendor Management by enabling department team members to be accountable while increasing their capabilities to accomplish the business unit’s strategic priorities

Facilitates the development and maintenance of the Strategic Sourcing Center of Excellence (SSCoE). Acts as the system administrator, runs reporting, and assists to socialize the SSCoE to facility endusers. Collaborates closely with the Purchased Services leader to ensure that customer requests are communicated timely.

Provides support to the Regional Contract Administration team by providing National leadership, 180 day reporting, and process development between Regional and National SSRM Contracting Administration Management departments and the Purchased Services team.

Collaborates with and assists in managing the third party Group Purchasing Organization (GPO) activities to ensure that best pricing is established and maintained with a high level of accuracy in the GPO systems. Assists with project development with GPO teammates and documents work processes and responsibilities.

Responsible for having a working knowledge of and maintaining the GPO Roster structure. Work with Contracting, Common Spirit Health and DHPN membership, and contracted vendors to facilitate a high use of contracts leading to maximum revenue and cost saving measures. Applies roster structure knowledge to price file creation and member and facility list maintenance.

Coordinates weekly pricing reviews with Distributors completed by CAM Constract Specialists III. Solves pricing issues at local and national levels, facilitating the interrelationship within Supply & Service Resource Management and other CommonSpirit Health departments as appropriate. Communicates with CommonSpirit departments and vendors to uphold a high level of customer service and a collaborative relationship.

Assists with determing appropriate department analytics, Key Performance Indicators and actively contributes to data & analytics needed in the department. Includes the Contract Life Cycle Management System (currently Jaggaer Analytics) and contract repository data to provided monthly department analytics, productivity rates, and Key Performance Indicators.

Understanding of how to anticipate, recognize, and deal effectively with existing or potential conflicts at the individual, group, or situation level; ability to apply this understanding appropriately to diverse situations.

Qualifications

Bachelor’s degree required; or Minimum of five (5) years experience in a healthcare environment

Excellent communication, leadership, and team building skills

Google Suite experience

Contract administration management experience
