SFS provides a rigorous education grounded in both theory and practice while instilling the Jesuit value of service. Father Edmund A. Walsh, S.J.’s vision was a school that would prepare students for all major forms of foreign representation — official and unofficial, governmental and private sector, whether commercial, financial, consular or diplomatic. The Program and Records Administrator is responsible for academic recording and program support for the Undergraduate Program and academic deans. They assist in reviewing commencement book drafts and coordinate with Office of the Registrar for diplomas, as well as assist commencement events team with any student data they require to execute the event, including name cards and student lists. The incumbent maintains all student files, including records of termination, matriculation, grade changes, language proficiency exams, and study-abroad transcripts. This individual administers the biannual course scheduling process for BSFS, and serves as convener for school-wide discussions on course scheduling. Providing administrative support as needed to BSFS dean along with support for undergraduate ceremonies and events, additional duties include, but are not limited to:Academic Recording and Program Support

Post transfer credit including study abroad, summer school, and pre-GU college credit to student electronic records in Banner, updating matriculation changes to student records, including change of major, classification, graduation date, faculty mentor, and catalog year.

Add course attributes in Banner, maintaining in-house training guides for recording tasks in Banner for all routine processes including posting of transfer credits, matriculation changes, and common report types.

Maintain transfer credit equivalency charts for advanced placement and 13th year programs.

Purge graduating student files in preparation for registrar archiving.

Distribute results of language proficiency exams to deans and students.

Assist with the production of the commencement book and diploma order, and other graduation-related activities, along with other recording-related tasks as assigned by the Associate Dean responsible for records management.

Coordinate proctoring of the final exam for the required course, Map of the Modern World, scheduling and proctoring conflict exams.

Process SABR and ET transcripts, running Cognos reports and adjusting degree audits for certificates/majors/minors.

Manage senior review processes (including posting degrees, ordering diplomas, and tracking senior reviews).

Develop forms and maintain workflow processes for major declaration, senior review, and non-GU Summer School.

Support dean who manages the academic part of Tropaia including the communication and solicitation for awards, honors in the major, and medals.

Assist the NSO dean in developing and maintaining the Canvas site for first years and pro-seminars.

Course Scheduling and Inventory

Establish and administer School-wide course submission procedures.

Ensure compliance with Provost-mandated regulations re academic offerings.

Approve course information for submission to Registrar’s Office.

Negotiate course slots and classroom space with Registrar’s Office.

Negotiate cross-listing of courses with other GU departments.

Mediate scheduling conflicts among programs.

Generate and distribute course-related information to programs and faculty.

Create and maintain databases of information related to course scheduling and inventory.

Work InteractionsThe Program and Records Administrator reports to the Associate Dean responsible for academic records and works closely with the BSFS team.Requirements and Qualifications

Bachelor’s degree

At least 3 years of experience in administrative support, academic records management, and event planning, or closely related experience

Proficiency in Banner and related records management tools

Must demonstrate a high level of organization and attention to detail and a commitment to outstanding customer service

Ability to develop subject matter expertise in and uphold university regulations and advise program directors, faculty, and other senior staff on appropriate courses of action in accordance with regulations

Ability to exercise leadership in all areas of responsibility of the position

  • Summary This position is located within the Department of Homeland Security (DHS), Immigration and Customs Enforcement (ICE), Enforcement and Removal Operations (ERO), ICE Health Service Corps (IHSC). The incumbent will report directly to the Medical Case Management Program Manager (MCMPM). This is a non-supervisory position. This position is only open to current USPHS officers. USPHS Call to Active Duty (CAD) candidates are not eligible for this position. Responsibilities DUTIES AND RESPONSIBILITIES: Serve as the medical subject matter expert (SME) for reviewing, monitoring, and reporting on serious medical illness cases for ICE noncitizens in custody. Provide guidance and consultation on medical conditions for noncitizens with significant clinical illnesses. Perform health record reviews, medical case monitoring, follow up, and provide written reports, placement coordination, and ensure continuity of care to critically ill noncitizens on the IHSC serious detainee illness (SDI) list. Manage the additions and removal for the IHSC SDI list. Communicate and meet regularly with the IHSC Regional Clinical Directors (RCDs) for ICE noncitizens\' health record screenings, reviews, and summations for significant medical cases requiring referrals and clinical transfers. Perform medical case monitoring on all medical hospitalizations of significantly ill (IHSC/ICE) noncitizens. Collaborate with internal and external stakeholders for complex medical cases from admission, throughout detention ensuring appropriate handoffs for releases and repatriation. Assist with identification of long-term placement and clinical services handoffs for serious medical cases. Coordinate safe release planning for serious clinical cases and special vulnerabilities as appropriate prior to release and removal for noncitizens who are determined to be incompetent by an Immigration Judge. Serve as primary point of contact (POC) for noncitizen hunger strikes, transgender, elderly and pregnancy noncitizens. Monitor and provide reports on noncitizens with medical concerns who are in segregation. Recommend and assist RCDs with alternative placement option transfers from detention facilities, hospitals and/or state and local facilities. Represent and provide medical updates for the clinical services division (CSD) at segregation (SEG) meetings, SDI meetings, multidisciplinary treatment team (MDTT) and other designated meetings providing written and verbal reports as needed. Utilize Milliman Care Guidelines (MCG) for referral reviews for adequacy/completeness guideline adherence communicating with RCDs for community referrals. Collaborate with Health Plan Management Unit for all hospitalization concurrent visits monitoring. Utilize unified patient tracking system (UPTS) for tracking and reporting serious clinical cases. Utilize IHSC electronic health record for IHSC noncitizen patients. Review, prioritize, initiate, assign and disseminate all serious clinically significant event notifications (SENs) for IHSC and non-IHSC facilities. Serve asthe intake officer for all clinical SENs. Act as POC for conducting research on the availability of health care services in the country of origin for noncitizen individuals upon request to assist in the repatriation process. Review and prepare responses to taskers from the IHSC Taskings Unit, stakeholder inquiries, investigative inquiries, or Congressional inquiries. Prepare, analyze and report data for serious clinical cases for the IHSC Clinical Leadership. Prepare and provide education to various audiences on selected clinical topics. Assist with coordination of air transport (air ambulance) for significantly ill noncitizensfor transfer and/or removal as needed. Collaborate with Behavioral Health Case Managers, Behavioral Health Clinical Consultants, Field Medical Coordinators, Utilization and Referral Coordinators, and others involved with complex clinical cases in ICE Custody. Contribute to IHSC policy, Clinical Practice Guidelines (CPGs), job aids, Standard Operating Procedures (SOP)s. Follow supervisory chain of command. Provide coverage and support to other MCMPC and MCMPM as needed (e.g., annual leave, TDY assignments, illness). Maintain clinical skills. Provide clinical care support at IHSC-staffed detention facilities with critical staffing needs through the IHSC Temporary Duty Assignment (TDY) On-Call Schedule (ITOS). Travel required-minimal (10%). Other duties as assigned. Requirements Conditions of Employment Qualifications PHYSICAL DEMANDS: Must be able to perform duties in a fast-paced environment without physical limitations. If the incumbent holds a clinical license, it is the responsibility of the incumbent to fulfill the obligation(s) of their licensing or certifying body to maintain current status. This position will require performance of clinical activities with the scope of clinical license. Continuing education requirements must be met as required for licensing and board certification maintenance. If a clinician, you will be placed on a rotational internal TDY schedule to assist with field clinical operations and obtain clinical hours. Performing clinical duties at an IHSC facility may require working any shift (morning, evening, nights) to include weekends or holidays. Achieves and maintains nursing case management certification or nursing case management board certification through the American Nurses Credentialing Center ANCC or a Certified Case Manager through the Commission for Case Manager Certification within two years. Certification as a Correctional Health Professional preferred. Ability to plan and organize her/his own workload and travel schedule utilizing the IHSC policies. Flexibility and adaptability to sudden changes in schedules and work requirements. Knowledge and skill in all Microsoft Office programs. The incumbent will report directly to the Medical Case Management Program Manager (MCMPM). This is a non-supervisory position. As the Medical Case Management Program Coordinator (MCMPC), the incumbent will coordinate continuity of clinical services inclusive of medical and mental health care, for individuals in ICE custody, provide case coordination, monitoring and reporting on significantly ill noncitizens and long-term care noncitizens in custody at IHSC facilities and non-IHSC facilities pursuant to the IHSC national policies and procedures. The incumbent will liaise between ICE, IHSC and other designated stakeholders. SUPERVISORY CONTROLS: The incumbent reports to and works under the supervision of the Medical Case Management Program Manager. The employee receives general direction from the MCMPM and supervisory chain who outlines assignments and projects, establishes timeframes, and provides guidelines for scope of the assignment and possible approaches for completion of work.
