job detailsOur nonprofit client in Washington, DC is hiring for a temporary-hire Receptionist and Facilities Assistant. This is a fully onsite position at a very metro accessible office. The ideal candidate will be punctual, have great inter-personal skills, and at least a few years of office and administrative experience. Ensure that the first impression of Center callers and visitors is cordial and efficient.

Route incoming calls to the appropriate person.

Greet visitors, announce to the appropriate staff person.

Receive packages and notify the appropriate staff person.

Maintain an orderly reception area.

Submit Tenant Service Requests

Distribute key fobs and maintain key fob list and visitor key fob list.

Facilities:

Store incoming supplies.

Refill and maintain coffee machines.

Set up meeting rooms for meetings and events.

Daily facilities inspection of each suite.

Process administrative payment requests.

Process outgoing packages and maintain shipment log.

Pick up mail and place it in the appropriate folder.

Process outgoing mail daily.

Purchase stamps as needed.

Responsibilities Directly support the director and deputy director by providing administrative and clerical assistance to fulfill the Center’s mandates. Assist with arranging conferences and meetings conducted for the Director and Deputy Director. Office management and administrative support for the Center for Women Veterans’ staff and serve as a point of contact with staff on administrative matters. Maintain workflow by working with program analyst and other staff to assure efficiency and timeliness of administrative functions. Track incoming/outgoing mail and distribute to appropriate staff. Read all incoming publications, regulations, and directives, which may be important to the activities of the Director or other Center staff. Refer those of importance or interest. Receive all visitors and telephone calls to the Director/Deputy Director, determine the nature of the calls or business of the visitor, and refer the inquiry to the appropriate staff member for assistance. Requirements Conditions of Employment Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).
