Admin Assistant for Health Insurance Agent

We are seeking a highly organized and customer-focused Administrative Assistant / Customer Service Representative to support our insurance agency. In this role, you will provide administrative support to the insurance agent and offer exceptional customer service to our clients. The ideal candidate will be detail-oriented, possess strong communication skills, and be comfortable working in a fast-paced environment.

Key Responsibilities:

- Administrative Support:

- Assist the insurance agent with scheduling appointments, managing calendars, and handling correspondence.

- File, organize, and maintain client records, both electronically and physically.

- Prepare and process insurance documents, including applications, endorsements, and renewals.

- Perform data entry and maintain accurate records in our agency management system.

- Order office supplies and manage inventory as needed.

- Customer Service:

- Serve as the first point of contact for clients, answering phone calls, emails, and in-person inquiries.

- Assist clients with general questions, policy information, and claims processes.

- Handle customer complaints or concerns with professionalism and escalate issues when necessary.

- Follow up with clients on outstanding paperwork or information needed for policy completion.

- Provide support with policy reviews, updates, and renewals.

Qualifications:

- Education: High school diploma or equivalent required. Associate’s degree or higher preferred.

- Experience: Previous administrative or customer service experience, preferably in the insurance industry.

- Skills:

- Strong verbal and written communication skills.

- Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with office equipment (copiers, printers, etc.).

- Ability to multitask and prioritize in a fast-paced environment.

- Excellent attention to detail and organizational skills.

- Ability to handle confidential information with discretion.

Preferred Qualifications:

- Experience working in an insurance office or related field.

- Familiarity with insurance software or CRM systems.

- Bilingual (Spanish/English) is a plus.
