Your Impactful Role
The primary objectives of the Personal Injury Administrative Assistant role are to efficiently manage patient appointments, financial transactions related to prepaid services, and all personal injury tasks. The individual will contribute to organizational success by providing crucial administrative support, maintaining confidentiality, managing complex schedules, and actively participating in strategic planning with physicians. Additionally, the role involves fostering positive client relationships through light marketing tasks and ensuring accurate documentation for legal purposes. Overall, the Administrative Assistant plays a key role in optimizing operational efficiency, supporting clinical functions, and contributing to the achievement of organizational goals.
Appointment Management:
Schedule patient appointments efficiently.
Financial Administration:
Handle scheduling, invoicing, and payment collection for prepaid services.
Manage personal injury tasks, including case management, approvals, relationships with referral sources, reduction requests, and maintenance of records.
Administrative Support:
Perform various administrative tasks such as correspondence preparation, faxing, mailing, and maintaining records.
Coordinate complex activities like meetings, travel arrangements, and record reviews.
Calendar and Schedule Management:
Assist in managing clinic schedules and the physician's calendar.
Arrange peer-to-peer phone calls and coordinate physician credentialing.
Confidential Information Handling:
Manage confidential, time-sensitive, and non-routine information.
Sort and prioritize mail, handling internal paperwork processes.
Communication and Support:
Take messages and address routine and non-routine questions.
Provide clinical support, ensuring optimal patient care and timely follow-up.
Maintain accuracy and updates in the physician's Curriculum Vitae.
Strategic Planning and Reporting:
Collaborate with physicians on goal setting and strategic plans.
Perform biweekly financial analysis and prepare reports for physicians and management.
Marketing and Client Relations:
Conduct light marketing tasks and enhance client relationships.
Attend events on behalf of physicians as requested.
Legal Document Processing:
Process legal documents, including subpoenas, and communicate with attorneys.
Professionalism and Flexibility:
Maintain a professional appearance.
Work a flexible schedule.
Clinical Tasks:
Perform back-office clinical tasks, including physician marketing, procedure scheduling, surgery scheduling, research, outcomes tracking, and miscellaneous tasks.
Qualifications
High school diploma or general education degree (GED).
Associate or bachelor's degree preferred.
Minimum 2 - 3 years executive support level experience in a high-volume atmosphere.
Prefer experience in a health care organization that includes basic knowledge of insurance plans, coverage and procedures.
Previous paralegal, personal injury, or executive assistant experience is mandatory.
