Position Overview:

We are seeking a motivated and organized Office Assistant for a new Atlanta based theatre to join our team. The individual in this role will provide administrative support to the office, contribute to the efficient functioning of operations, and play a key role in enhancing the overall experience for patrons, staff, and performers. The ideal candidate will have strong organizational and communication skills, the ability to handle multiple tasks simultaneously, and a passion for the arts.

Responsibilities:

1. Provide general administrative support to the theatre office, including answering phone calls, responding to emails, and handling incoming and outgoing mail.

2. Maintain the office’s filing system, ensuring all documents are accurately organized and easily accessible.

3. Assist with the preparation and distribution of marketing materials, including posters, flyers, and brochures.

4. Support the theatre’s ticketing system, including processing ticket orders, managing reservations, and providing assistance to patrons with ticketing inquiries.

5. Maintain accurate records of attendance and ticket sales for each performance.

6. Assist with the coordination of rehearsals, auditions, and other on-site events, including scheduling, arranging necessary equipment, and communication with performers and staff.

7. Collaborate with the finance department to update financial records, process invoices, and reconcile accounts payable and receivable.

8. Help manage the theatre’s social media presence by scheduling posts, responding to messages/comments, and promoting upcoming shows and events.

9. Assist in coordinating and executing fundraising campaigns and events, working closely with the development team.

10. Monitor office and theatre supplies inventory, placing orders as needed, and ensuring adequate stock is maintained.

11. Collaborate with the administrative team on special projects, research, and other assignments as required.

Requirements:

1. High school diploma or equivalent; further education in theater administration, arts management, or a related field is a plus.

2. Proven experience in an administrative support role, preferably in a theater or performing arts environment.

3. Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced setting.

4. Excellent written and verbal communication skills, with a keen attention to detail.

5. Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and familiarity with ticketing software.

6. Demonstrated ability to work collaboratively in a team environment and build positive relationships with internal and external stakeholders.

7. Knowledge and passion for the theatre and performing arts industry.

8. Flexibility to work occasional evenings and weekends, as required by the theatres schedule.
