This is a hybrid role-3 days in our office and 2 days from home

We are seeking a highly organized and detail-oriented individual to join our team as a Construction Bid Administrator. In this role, you will play a pivotal role in supporting our bid management process and providing administrative assistance to our team. The ideal candidate will thrive in a fast-paced environment, possess strong communication skills, and be adept at managing multiple priorities simultaneously.

Key Responsibilities:

Coordinate and manage the entire bid process from inception to submission, ensuring deadlines are met and all requirements are fulfilled.

Review bid documents and contracts to extract key information and requirements.

Collaborate with internal teams to gather necessary information and resources for bid submissions.

Prepare and format bid documents, ensuring compliance with client requirements and company standards.

Maintain bid logs, trackers, and databases to track progress and outcomes of bids.

Assist in the preparation of presentations, reports, and other documentation as needed.

Manage post-award bid process including contracts, bonds, and insurance. Create new project folders.

Understanding of MBE/WBE/DBE documents and requirements of IFB’s, RFP’s and Solicitations.

Provide general administrative support such as scheduling meetings, managing calendars, and handling correspondence.

Maintain organized electronic and physical filing systems.

Act as a point of contact for internal and external stakeholders regarding bid submissions and administrative matters.

Proficiency in Microsoft Word, Excel and Adobe PDF a must.

Paralegal certificate is required, and previous bid document preparation experience is preferred.
